SUMMARY: The Municipal Benefit Plans Office Administrator provides support to the Municipal Retirement Services department by performing a variety of administrative functions related to processing community participants' deferrals to retirement plans; non-retirement savings and certificates; and, ensuring compliance with all applicable regulations and reporting requirements. ESSENTIAL DUTIES AND RESPONSIBILITIES: North Shore Bank's position descriptions of Duties and Responsibilities are intended to describe only the major functions of the job and may be amended and changed as department structure and procedures change. You may be expected to perform other duties specified by your manager. Everyone is expected to contribute whatever efforts necessary to operate efficiently and effectively to ensure the success of the Bank. Liaises with key client contacts for performing verifications, answering questions, and processing transactions. Ensures all transactions are processed in a timely manner and addresses any discrepancies with the department manager. Assists with new product implementations, and prepares marketing materials as needed, including quarterly fund return sheet. Processes contributions and distributions, trustee-transfers and direct rollovers for Deferred Compensation clients. Maintains contribution/processing Excel files and lists and updates Access Deferred Compensation community tables as needed. Process various distributions and corrections as necessary to accounts (i.e., distributions for death/divorce; any distribution corrections or rejected transactions, etc.) Balances and remits deferred funds, cleared through North Shore Bank, to associate Investment Companies, as well as processes transfers between associate Investment Companies. Processes ACH payments and collections for customer and municipal transactions, with dual verification. Remits Federal and State Income Tax withheld on retirement distributions; reconciles the appropriate general ledgers; and prepares and submits the required IRS forms according to IRS and Bank policy, procedure and timetable. Liaises with the IRS to ensure compliance and documents /resolves any reporting issues. Prepares quarterly reports; maintains plans and customer files; contacts clients who must start mandatory distribution and those newly separated from service and processes their elections and forms. Balances department totals and Checks-Out System, prepares daily deposit, and maintains stock for these processes. Opens new accounts such as HRA and 457(b) accounts, as well as new municipal plans. Handles unusual or difficult customer situations either through direct personal action or referral to the appropriate department or individual. Contributes to and implements procedures and processes that improve department functions, in coordination with the department manager. Works with department staff for completion of time-sensitive projects, including but not limited to mass mailing projects, preparation of sales folders and statement processing. Participates as needed in local (Wisconsin) conferences as needed for staffing, which includes travel and overnight stay. Requires two years of work related experience and/or training with emphasis on office administration OR equivalent combination of education and experience. Must have experience using Microsoft Office applications. OTHER SKILLS AND ABILITIES: Detail oriented with the ability to read and comprehend detailed reports. Requires excellent verbal and written communication skills. Must be able to operate a motor vehicle with a valid driver's license for occasional travel. |
