Job Summary

The Financial Systems & Applications Analyst is crucial for the Office of Auxiliary & Enterprise Development (AED), enhancing financial reporting, streamlining budget processes, and ensuring compliance. This role bridges financial operations and technology by optimizing financial systems like PeopleSoft, managing data integrity, and developing advanced financial dashboards with tools such as BI, Tableau, and Power BI. Identifies process inefficiencies, supports system upgrades, provides user training,
and offers strategic support to ensure accurate data, informed decision-making, and overall financial and operational efficiency for the university.

  • Ensures financial systems operate efficiently and comply with federal, state, and university regulations. Maintains data integrity and security across financial transactions and reporting.
  • Troubleshoots, tests, and implements enhancements for PeopleSoft Budget modules, optimizing system functionality.
  • Manages security access and user roles for budget tools to ensure data integrity. Reviews and tests user access roles to ensure the security and effectiveness of budget tools. Confirms new user access needs within the Office of Research and Economic Development (ORED); conducts DoR Mapping to manage and structure financial data.
  • Assists in updating and maintaining nVision reports, including modifying layouts, ensuring fiscal year updates, and reviewing queries for accuracy.
  • Populates the training environment with data from the production environment for testing and user training.
  • Performs critical testing of budget tools to validate proper functionality and features.
  • Responsible for supporting day-to-day reporting and analytical operations of all funds managed by the Office of Auxiliary & Enterprise Development (AED), including: Auxiliaries, Athletics, Tech Fee, Board-Approved Fees, Contracts & Grants, Direct Support Organizations (Foundation, Research Foundation, FIU Healthcare Network, Athletic Finance Corporation), Museums and other University units.
  • Monitors and analyzes monthly financial performance versus budget across all managed funds. Reviews current fund balances for auxiliaries and related funds to ensure alignment with spending plans. Ensures budgetary controls (commitment control) for AED funds are maintained and adjusted as needed.
  • Updates the fiscal year settings in budget tools and reporting systems to align with current financial periods.
  • Controls system access to university personnel for budget tools, based on access roles granted by FSSS. Opens and maintains budget tools, including Detail Budget Maintenance (DBM), Cash Transfer, and DSO Reimbursement Tools. Completes the load of position files, ensuring position assumptions are accurate and up to date.
  • Enables data transfer between Position and Cash Transfer Tools to Detail Budget Maintenance (DBM) for seamless synchronization and updates. Revises and improves the budget upload template, ensuring correct formatting and data organization.
  • Creates, maintains, and delivers financial reports and dashboards using nVision, Oracle Business Intelligence, Tableau, Microsoft Excel, or Power BI. Assists in analyzing and transforming complex financial data into high-impact business insights using Oracle Business Intelligence, Tableau, Power BI, and other data analytics tools. Automates financial reporting processes, reducing manual intervention and increasing efficiency. Performs variance analysis to support leadership decision-making. Conducts data validation and system reconciliations to improve financial forecasting.
  • Leads financial system upgrades, process automation, and workflow improvements in collaboration with IT and finance teams. Conducts testing, troubleshooting, and implementation of new system functionalities. Identifies inefficiencies in financial workflows and recommends automation solutions.
  • Oversees data integration between budget and reporting tools, ensuring seamless operations. Enhances budget tools and templates, improving usability and data accuracy. Reviews and updates PeopleSoft budget configurations, ensuring alignment with university policies.
  • Develops and delivers training to help university personnel effectively use financial systems. Creates user guides, FAQs, and other documentation to enhance financial system literacy. Provides ongoing support to departments using budget tools and reporting modules.
  • Conducts training workshops on financial reporting, system updates, and process enhancements. Serves as point of contact for budget tools-related inquiries and troubleshooting.
  • Assists in special projects, including system modernization. Stays up to date with emerging financial technologies and best practices, recommending innovative solutions.
  • Develops and maintains Microsoft PowerApps that support Division of Finance.
Minimum Qualifications

Bachelor's degree and two (2) years of experience in related field.

Desired Qualifications

  • Direct experience with PeopleSoft Financials or similar large-scale ERP (Enterprise Resource Planning) systems.
  • Advanced proficiency with data visualization and business intelligence tools like Tableau, Power BI, or Oracle Business Intelligence (BI).
  • Strong SQL skills for data extraction and analysis.
  • Project management experience, particularly with software implementation or system upgrade projects.
