POSITION SPECIFICS

Business Administration, a division of the Office of Physical Plant (OPP), seeks a talented and motivated individual to join our team as an Administrative Assistant. This position will report to the Senior Director of Business Administration and, in addition, provide administrative support to the Director of Operational Technology.

The selected candidate will be someone who can work independently, manage multiple schedules, provide clear and open commhttps://www.opp.psu.edu/unications, and share knowledge with others, as needed.

This position offers a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process.

The position's responsibilities include, but are not limited to:

  • Provide primary administrative support to the Senior Director, Business Administration, as well as the Director of Operational Technology

  • Plan and facilitate the support activities of the Business Administration and Operational Technology divisions; coordinate with others to complete tasks

  • Advise and research answers to questions/issues concerning unit/University policies, processes, and procedures from both internal and external contacts

  • Manage the cellular distribution process that includes maintaining files, databases, and reports for internal billing

  • Monitor and maintain budgets, track expenditures, process budget revisions, and assist with budget preparation and projections

  • Generate, prepare, and maintain financial reports and spreadsheets, and authorize the processing of payments

  • Arrange face-to-face and virtual meetings, coordinate special events, conferences, and other functions as needed

  • Assist with planning and coordination of moderately complex projects

  • Serve on various committees; prepare agendas, take minutes, and compose minutes

  • Coordinate back-up support as needed for Physical Plant's VP's Office

  • May assist in the supervision and training of students and assigned support staff

  • Serve as a resource for others on a variety of subjects, including software application usage and information processing procedures

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

Associate Degree 4+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

BACKGROUND CHECKS/CLEARANCES

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $42,100.00 - $61,000.00.
