General Responsibilities |
This position reports directly to the Director of Auxiliary Services. The Auxiliary Services department consists of food services, bookstore services, and facility use reservations and scheduling. This position requires an individual who can multi-task and whose diverse duties provide administrative support to the Auxiliary Services department for facilities use, event planning, conference services, catering and related assistance. |
Work Performed |
Primarily responsibility for scheduling and coordination including but not limited to:
- All DH -100 Kittleman physical scheduling of requests
- All DH, RCF, HSB Lobby physical scheduling of requests
- All RCF 120B, 400, 401 physical scheduling of requests, coordination of setup and breakdown
- All Quad scheduling requests
- Submission of the subsequent room reminder notices
- Ongoing calendar, spreadsheet and log book maintenance
- Manage all aspects of catering order processing, communications with food services
- Menu creation, distribution and posting
- Daily RCF Lobby table coordination/placement
- Primary responsibility for weekly inspections, inventory, and maintenance of all vending and beverage services including responding to vending related issues and concerns
- Website maintenance, revision and updating
Provide administrative and clerical support to include:
- Serves as the point of contact in the absence of the Director
- Assists with contract management from first contact to completion including but not limited to identifying room availability, defining fees, providing user with an external facilities use application and all related documents, tracking, subsequent submission of the completed paperwork for review and approval
- Responds to space availability inquiries related to event planning, conference services, and facilities use
- Handles billing requests to Finance (both first billing of deposits through final invoicing)
- Submits "Event Details" notices to all campus departments providing services or support
- Places Work orders to various support departments for required services
- Maintains College Calendar/Other/External Event
- Subsequent maintenance of all related files (both paper and electronic)
- Maintains information needed for Semi-Annual Disclosure reporting
- Performs other related duties as required

Completion of high school and three years experience.
Considerable skill in work coordination and management.
Ability to operate routine office equipment.
Knowledge of Word, Excel, Colleague and other software applications.
Ability to use own initiative to locate and resolve problems.
Ability to interact effectively with others to determine needs and resolve conflicts.

REQUIREMENTS
Ability to maintain strict confidentiality and communicate effectively, both verbally and in writing.
Regular attendance is a requirement of this job.
Overtime may be required during busy periods.
