We have an opportunity at our corporate offices in Chicago for a Sr Travel Coordinator II on our Corporate Services team. This is a hybrid position reporting into our Chicago, IL office, requiring 2 days a week in the office.

This position will be an Administer and maintain customer service oriented on-line travel program. Guide and coordinate travel-related services for AMA funded travelers. Provide recommendations to the AMA to help manage costs and contract negotiations

RESPONSIBILITIES:

Travel Program Coordination

  • Prepare travel management reports, analysis, and contract recommendations for leadership.
  • Provide economy class airfare comparisons and projections to HR leadership for tracking and budgeting purposes.
  • Enroll all booked international destinations in the Smart Traveler Enrollment Program.
  • Monitor flights for cancellations or disruptions
  • Reconcile AMA Corporate American Express Ghost Card monthly.
  • Manage earned/comp tickets with airlines, ensuring most cost-effective use.
  • Establish meeting discount agreements with airlines.
  • Manage airline Business Rewards programs, utilizing earned points to best advantage
System Processing & Troubleshooting
  • Serve as primary contact for the online travel portal; troubleshooting traveler issues and assisting in training users on self-booking for AMA business travel arrangements
  • Maintain the online travel portal. Add/delete users, edit traveler profiles, update AMA travel policy(s), preferred vendors, and AMA credit card information. Ensure system upgrades occur.
  • Process and coordinate International Travel Request forms. Disseminate destination briefings and advise on required documentation.
  • Process Staff Complement travel arrangements for annual and interim meetings.
Meeting Support
  • Provide professional, customer service oriented support at the Registration and Information Desk at Annual and Interim meetings, as well as other meetings as required (SAS, NAC, MAC, ACPH).

May include other responsibilities as assigned

REQUIREMENTS:

  1. High school diploma or equivalent required. Bachelor's degree in hospitality management or related field preferred.
  2. Minimum 5+ years experience with corporate or association travel programs.
  3. Strong knowledge of travel portal management, SABRE GDS, hotel, air, and rail company sites required.
  4. Strong qualitative and quantitative analytic skills are required. Knowledgeable of data collection and analysis methods to identify corporate travel trends, cost savings opportunities and AMA spend.
  5. Strong critical thinking, writing, and tracking/documentation skills.
  6. Excellent customer service skills.
  7. Demonstrated ability to work well under pressure, including the ability to balance work on multiple projects.
  8. Ability to work effectively with internal and external stakeholders at all levels.
  9. Excellent communication and teamwork skills with a sustained ability to maintain a positive individual contribution.

This role is an exempt position, and the salary range for this position is $60,588- $80,417. This is the lowest to highest salary we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration and geographical location, as well as candidate qualifications, such as skills, education, and experience.
