Together, we aim to address the changing demands of medical devices by enhancing component miniaturization and improving the maneuverability of small and precision components, ultimately advancing medical efficiency.

It's an exciting time to join our team, and we're hiring for a Sales Coordinator. This role is responsible for providing timely response and follow up to customers requests and providing clear communication and support with both customers and cross functional internal team members. The hours for this positions are Monday-Friday, 8:00AM-5:00PM.

Essential Functions and Responsibilities:



  • Responds to customer and internal departments within 24 hours and provides proactive customer follow-up.
  • Communicates clearly, concisely, and professionally via email, telephone, written or in-person communication.
  • Inputs data with accuracy and utmost attention to detail and with a sense of urgency.
  • Responsible for internal sales process of new customer setup, new part setup, PO entry, setup and timely completion and review of feedback for contract review work flow tasks, and Epicor project creation and management.
  • Conducts order entry ensuring purchase orders match quotations and are entered completely and correctly into Epicor. When a purchase order does not match the quotation, the Sales Coordinator works with the customer to update their purchase order before it is entered.
  • Support the Sales Team and Project Engineers
  • Serves as subject matter expert in Epicor (ERP) and HubSpot (CRM) systems for the Sales Department.
  • Proactive and creative in solving problems. Resolves customer issues, concerns or complaints and implements solutions that meet customer expectations.
  • Supports non-routine and difficult inquiries from customers by engaging with the full IMM team.
  • Organize forecasting, blanket PO, and capacity planning from the forecast.
  • Organize monthly T&M by working with the Project Engineers and submit to Accounts Receivable.
  • Improve customer satisfaction by proactively identifying patterns of problems and barriers to solutions. Provides insight to resolve problems.
  • Maintains strong customer relationships to ensure continued mutual success.
  • Responsible for working with internal stakeholders to determine delivery dates.
  • Negotiate ship dates, order quantities and pricing as required.
  • Organize with the Sales Team the timely completion and execution of contractual agreements (non-disclosure, indemnification, master supply, etc.).
  • Can effectively communicate and present our unique solutions to meet customer needs and secure new business.
  • Assists with organization and planning for customer visits, speaking engagements, conferences, travel arrangements, and trade show preparations.
  • Develops effective customer service procedures and develops, monitors, reports and communicates customer satisfaction goals.
  • Manage customer returns and assists Quality Department in handling and communicating corrective actions for RMA process.
  • Participates in maintaining a quality service culture.
  • Develop and implement sales related business processes.
  • Create customized Excel Spreadsheets and pivot tables to track sales information.
  • Create, organize, and track customer e-mail campaigns.
  • Work with sales team to determine pricing and delivery for project deliverables.
  • Manage the set up and execution of trade shows anywhere in the world.
  • Support assigned Marketing tasks.
  • Organizes sales leads from tradeshows and website inquiries in HubSpot.
  • Support responding to new customer leads.


Education and/or Experience:



  • Associates degree or equivalent of 3-5 years of related experience
  • Proficiency in Microsoft Office Suite and Teams
  • Working knowledge of Hubspot preferred
  • Exceptional interpersonal skills with the desire to meet customer needs
  • Ability to work in a high volume rapidly changing environment
  • Self-direction and motivation to manage multiple priorities simultaneously and meet deadlines.
  • Independent initiative to create and successfully complete tasks without direct supervision.
  • Strong active-listening skills.
  • Strong organizational skills with exceptional attention to detail
  • Effective and Efficient Project Management Skills
