The Role of Operations Support Specialist 1
Under direct supervision, performs clerical and administrative functions in support of the Operations Department. Performs timekeeping responsibilities, provides customer service and performs other duties as required.
Essential Responsibilities
- Provides administrative and clerical support to the operations department which may include calendaring, creating correspondence, developing reports, planning meetings and events, answering phones and other duties as assigned.
- Performs timekeeping responsibilities including recording schedules, hours worked, vacation approvals, etc. to ensure that attendance records are properly maintained.
- Courteously and tactfully assists customers, business partners, employees and vendors.
- When performing inventory and procurement duties:
- Generates purchase orders, follows up with vendors and enters repair orders on the fleet maintenance system.
- Schedules and monitors shipping and receiving.
- Ensures that all export standards are met.
- Tracks commodities and takes inventory.
- When performing dispatch duties:
- Schedules service and assigns drivers for special pick-ups, reassignment and arranges alternate coverage in case of employee absences or equipment failure.
- Audits routes to verify customer service levels. Reports route discrepancies to the Operations Manager and Customer Service Manager.
- Assists the Operations Manager with route maintenance and sequencing activities to ensure route optimization.
- Other duties as assigned.
Qualifications
- High school diploma or GED required.
- Bachelor's degree preferred.
- Two years of related administrative experience.
