Qualifications

Position Summary

The Administrative Assistant coordinates the day-to-day operations of the facility as dictated by the company's policies and procedures under the direct supervision of the Director of Outpatient Services. This position interfaces directly with the client to determine ability to pay and is responsible for billing and collections as well as other administrative duties.

Essential Duties and Responsibilities

  • Responsible for answering and triage of all incoming calls and for providing all necessary information to inquiries.
  • Schedules patient appointments and coordinates with all external providers. Provide weekly calendar to clients.
  • Responsible for conducting new patient admissions.
  • Responsible for conducting new patient orientation and documenting orientation in the patient file.
  • Interacts with clients and/or financial guarantors to determine ability to pay, negotiates and collects payment.
  • Establishes credit and collection policy, consistently meeting collection goals.
  • Runs Annual VOB and benefit explanations for patients.
  • Ensures practices meet The Joint Commission Standards and HIPAA rules and regulations.
  • Conducts periodic self-audits to ensure the accuracy of all records along with billing/collection processes.
  • Files appropriate paperwork in a timely manner.
  • Generate monthly patient invoices and creates and monitors financial reports for all patient accounting.
  • Responsible for facility operations to include management of all outsourced vendors and contractors.
  • Responsible for submitting monthly supply orders.
  • Maintains accurate records of daily patient census to ensure accurate billing and reporting.

Education and Experience

  • High-School diploma or GED required, Bachelor Degree preferred
  • Experience in verifying and providing utilization reviews with insurance providers required
  • Minimum 2 years of administrative experience required, office management experience preferred
