Executive/Management Assistant to Pools Leadership Team

Location: TBC

Reports To: President Pools Solutions

Position Summary:

The Executive Assistant (EA) will provide high-level administrative, project, and communications support to Pools Solutions leadership team, enabling effective decision-making, team coordination, and execution of strategic priorities. The EA will serve as a trusted partner and central point of contact, exercising considerable judgment, discretion, and professionalism. This role will also support cross-functional projects, communications, and employee engagement initiatives.

Key Responsibilities: Executive Support:
  • Manage complex calendars, meeting scheduling, travel coordination, and expense reporting with a high degree of accuracy and confidentiality.
  • Prioritize and respond to emails, calls, and requests on behalf of the executive; ensure timely and appropriate communication.
  • Prepare presentations, reports, meeting materials, and correspondence.
  • Organize and facilitate leadership and team meetings, including agendas, minutes, and follow-ups.
  • Maintain a proactive awareness of priorities and deadlines to help anticipate needs.
Project and Initiative Management:
  • Support strategic projects across the business, ensuring timelines, stakeholders, and milestones are tracked and met.
  • Collaborate with cross-functional teams to coordinate initiatives, ensuring alignment and follow-through.
  • Conduct basic research, compile data, and summarize information for executive decision-making.
Communications and Engagement:
  • Draft and edit internal communications, announcements, and updates on behalf of leadership.
  • Assist in developing communications materials for team meetings, town halls, or other key events.
  • Partner with HR or Communications to support team engagement efforts, recognition, and culture-building initiatives.
Relationship Management:
  • Serve as a liaison between the executive and key internal and external stakeholders.
  • Manage confidential information with integrity and discretion.
  • Foster strong working relationships across departments to ensure seamless coordination and alignment.
Qualifications and Experience:
  • Bachelor's degree preferred or equivalent experience.
  • Minimum 5-7 years of experience supporting senior executives, ideally in a corporate or global matrixed organization.
  • Exceptional written and verbal communication skills.
  • Demonstrated ability to manage multiple priorities and projects in a fast-paced environment.
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, Zoom).
  • Strong interpersonal skills, with the ability to interact with senior leaders and maintain composure under pressure.
  • Proven track record of discretion, confidentiality, and sound judgment.
Preferred Skills:
  • Experience in project coordination or communications support
  • Understanding of organizational dynamics and a proactive, solutions-oriented approach.
  • Interest in employee engagement and team culture development.

The expected compensation range for this position is between $75,900.00 and $126,500.00 plus discretionary bonuses. The exact compensation may vary based on your skills, experience and other factors permitted by law.
