OVERVIEW
The Interdepartmental Undergraduate Program Coordinator plays a pivotal role in providing administrative assistance and support to CFANS undergraduate interdisciplinary programs. This position brings a solution-driven perspective and is vital in ensuring the smooth functioning of various administrative tasks including managing programmatic communications, maintaining program documentation, scheduling meetings and courses, providing event support, generating and reviewing reports, and processing student data updates. Contributing to the overall efficiency of the academic programs, this position is responsible for being a collaborative member of the academic programs, college, and institution, facilitating continuous process improvement and relationship management.

This position can accommodate a hybrid working schedule when the on-boarding period is complete. This position operates out of multiple offices in close proximity on the Saint Paul campus.

POSITION RESPONSIBILITIES:
Environmental Science, Policy and Management Administration (30%)

  • Manage correspondence for CFANS interdisciplinary Environmental Science, Policy and Management (ESPM) major, including emails, phone calls, and inquiries.
  • Coordinate, maintain, and update ESPM program documentation, including manuals, handbooks, and procedures.
  • Develop systems to organize and maintain physical and digital files in support of ESPM, adhering to the UMN's records retention schedule.
  • Assist in scheduling ESPM related meetings, preparing agendas, and recording minutes.
  • Coordinate logistics for ESPM events, conferences, and guest lectures including: graduation, Earth Day, freshman admit, major/minor fair, transfer day.
  • Coordinate ESPM activities together with program Directors (DUGS) related to alumni relations and career and internship services.
  • Ensure highly sensitive and confidential ESPM student data is communicated and managed appropriately across applications and platforms. Understand and apply FERPA (Federal Education Records Protection Act) in this context and serve as a reference for faculty and staff who have questions about FERPA.
  • Support the creation and distribution of marketing materials across a number of platforms.
  • Coordinate with faculty for ESPM textbook and course material ordering.

ESPM Data Management, Scheduling, and Reporting (20%)

  • Develop and oversee administrative and operational workflow to maintain program curriculum, and student data systems under the direction of ESPM leadership.
  • Create procedures to collect and analyze data related to ESPM student enrollment, retention, and graduation rates to make strategic recommendations to the DUGS.
  • Identifies program reporting needs and prepares internal and external reports for ESPM program assessment and decision-making purposes.
  • Assist in the collection and analysis of feedback from students and faculty.
  • Support the development and implementation of data-driven initiatives and workflows to enhance ESPM program effectiveness.

CFANS Undergraduate Curriculum Coordination (15%)

  • Support monitoring of course proposals and communicating with departments and faculty sponsors to ensure complete proposals are forwarded to curriculum committee members.
  • Follow through with course approvals and update professional advisors and Directors of Undergraduate Programs (DUGS) as appropriate.
  • Coordinate with the CFANS Graduate Programs on overlapping course proposal, program proposal, and approval processes.
  • Support yearly course clean-up project and bi-yearly undergraduate catalog process.
  • Develop a knowledge of PeopleSoft technology and how it can be leveraged to support the college with course scheduling and similar activities.
  • Provide guidance to Collaborative Class Scheduling (CCS) staff, faculty, and department heads in accordance with the Office of Classroom Management Scheduling policies.
  • Provide scheduling support to instructors and administrative staff who teach courses using the CFAN designator.

Collaboration with ESPM Advising Staff ESPM Curriculum and Student Support (20%)

  • Participate in ESPM leadership meetings and contribute to discussions on program improvement.
  • Collaborate with academic advisors, registrars, and other campus stakeholders to address ESPM student needs effectively.
  • Collaborate with collegiate advising staff and the various DUGS to seek approval for and process program exceptions, transfer courses, and study abroad curricula.
  • Suggest resources to support students with course registration, academic requirements, and program policies.

CFANS Academic and Student Records Coordination (10%)

  • Manage the Dean's List process; run reports, assemble data, coordinate FERPA restriction inclusion, communicate Dean's List to all CFANS students and Major Coordinators.
  • Perform Academic Progress Audit System (APAS) exceptions for a selection of CFANS majors and minors to ensure student records integrity.
  • Collaborate with central APAS Business Analysts to trouble-shoot individual, major-based, and College-based APAS issues in CFANS.
  • Process degree clearances for a portion of the CFANS undergraduate population; ensure that accurate and complete student records are maintained and that students complete college requirements.
  • Serve on programmatic and collegiate committees, as needed.
Qualifications

REQUIRED:

  • Bachelor's degree or a combination of related education and operations and/or student support experience to equal four years. Training/education may substitute for some of the years of experience.
  • Experience in a Higher Education setting
  • Outstanding time management skills with the ability to balance many job functions and competing demands with grace and sensitivity.
  • Excellent interpersonal and communication skills with an ability to work collaboratively with diverse audiences.
  • Proficient with Microsoft and Google suites, with the drive and ability to learn new systems as needed.
  • Demonstrated ability to take initiative to improve projects and procedures while utilizing technology.
  • Demonstrated strong commitment to the University's goal of creating a positive and inclusive campus climate by advancing equity and diversity.

PREFERRED:

  • Experience working at the University, to include knowledge of University systems like Salesforce, Coursedog, PeopleSoft, etc.
  • Some understanding of agricultural, food and environmental issues.
  • Experience creating and executing marketing and communication strategies - including electronic, print, web, and social media.
About the Department

The College of Food, Agricultural and Natural Resource Sciences (CFANS) is a college of approximately 1,800 undergraduate students pursuing degrees at the University of Minnesota. The college offers 14 majors and 26 minors to prepare students for their first job and for the job they'll have 20 years from now-many of which don't even exist yet. This position works within the CFANS Student Services Office and the Environmental Sciences, Policy and Management (ESPM) program. CFANS Student Services is a team of over 20 professional staff members, each contributing to the shared responsibility of advancing the mission and vision of the college. These staff serve students in the areas of academic advising, learning abroad, academic programs, scholarships, student services, and student engagement. Environmental Sciences, Policy and Management (ESPM) is an interdisciplinary program designed to address the needs posed by the complexity of environmental and renewable resource issues that are faced on a state, national, and global level. The ESPM program has a great deal of flexibility and is built around an integrated core set of classes that stress the linkages between science, management, policy, education, and business.

Pay and Benefits

Pay Range: $25.50 - $31.25 per hour or $53,039.38 - $65,000 annually, depending on education/qualifications/experience
