The Role:

The Sr.
Contract Specialist, Government provides high-level customer service and
contract support for government, shipyard, and other strategic accounts. This
role is responsible for reviewing, interpreting, and administering complex
contracts, ensuring compliance with government regulations, coordinating with
internal departments, and supporting the sales process from bid preparation
through order fulfillment. The Sr. Contract Specialist works closely with the
Contract Manager to address questions, provide contract insights, and manage
any required redlines for approval. This role plays a key part in maintaining
strong customer relationships and collaborating with senior sales, operations,
and quality teams to deliver on contract requirements.

Your Responsibilities:

  • Provide professional contract and customer support to government-affiliated clients, shipyards, and other assigned accounts.
  • Prepare, review, and administer customer purchase orders, bids, and contracts, ensuring clarity and compliance with DFAR clauses and other government regulations.
  • Develop and maintain strong relationships with key customer contacts and internal teams to support contract execution and resolution of issues.
  • Prepare bid information for management review and submit compliant proposals to customers in a timely and professional manner.
  • Perform accurate and efficient customer order entry using Chromalox extranet and ERP systems (JD Edwards or similar).
  • Manage order expedite requests and proactively communicate shipment status or delays to customers.
  • Utilize customer portals to monitor and respond to customer requests and deliverables.
  • Coordinate closely with sales, manufacturing, quality, marketing, and engineering to meet customer requirements and resolve contract-related questions.
  • Facilitate communication between the Credit Department and customers regarding payment status and follow up on any delays.
  • Notify sales management promptly of any potential business-at-risk situations.
  • Generate Material Return Authorizations as needed.
  • Initiate reviews of special net pricing to ensure profitability and compliance with contract terms.
  • Support application issue resolution in collaboration with Application Engineering.
  • Maintain and update the Government Restricted Site with all required flow-down sheets, purchase orders, technical specifications, and SDRLs for plant review.
  • Submit Small Business Reports for contracts exceeding $750,000, in compliance with federal requirements.
  • Quote standard and custom products using Chromalox configuration tools and established pricing guidelines.
  • Contribute ideas and feedback to management on strategies to enhance customer service and contract performance.

Our Requirements:

  • College degree or equivalent technical experience required; engineering degree preferred.
  • Minimum of 5 to 7 years of experience in customer service and/or technical sales, preferably in an industrial or manufacturing environment.
  • Experience working with shipyards, government clients, or defense contracts strongly preferred. Internal candidates without this background will also be considered.
  • Demonstrated experience with managing complex contracts and ensuring compliance with DFAR clauses and other government regulations.
  • Proficient with Microsoft Office products; experience with JD Edwards or a similar ERP system strongly preferred.
  • Strong verbal and written communication skills, with excellent attention to detail and accuracy.
  • US citizenship required due to the sensitive nature of proprietary information handled in this role.
