About the Position The Records Coordinator is responsible for administering the records management program within the Planning and Development Department. This includes classifying and maintaining the department's records in accordance with local, state, and federal laws and retention schedules. The Records Coordinator also processes public records requests received from customers, developers, and other government agencies. This position serves as the first point of contact with the public by walk-in, electronically, or by telephone. About Us Maricopa County is GROWING. We Require
- Three years of administrative experience
- High School Diploma or GED
- Post-secondary education may substitute for the required experience on a year-for-year basis
We Also Value
- Records management experience, including developing a record management program; filing, retrieving, and disposing of records in accordance with an approved records retention plan, and responding to public requests and subpoenaed public records
- Experience with government agencies
- Experience with the OnBase electronic document management system
Job Contributions
- Develops and maintains a comprehensive records management program including the maintenance, storage, retention, retrieval, and destruction of plans, records, and documents in accordance with local, state, and federal guidelines
- Researches and responds to Public Records Requests and accurately documents all communications and steps within the Public Records Request system in compliance with County and State resolutions, coordinating with the County Attorney's office as necessary to review any legal requirements
- Creates guides and trains staff in records management, including records retention procedures and automated records retention systems
- Establishes procedures for implementing a digital records management program, including document imaging and storage of physical records that cannot be scanned with the coordination of OET and the Special Projects Manager
- Provides technical support to department divisions on the proper identification, storage, and destruction of records
- Prepares reports for records destruction and initiates the physical and digital destruction of records that have exceeded their approved retention periods. Coordinates all records destruction with OET and the State of Arizona
- Assists with scheduling of inspections, processing Certificates of Occupancy, and other administrative support functions
- Other duties as assigned

- Exerting 50-100 lbs. occasionally, 10-25 lbs. frequently, or up to 10-20 lbs. constantly
- Position is typically office or administrative work and is not substantially exposed to adverse environmental conditions
