Position Summary:

Highly organized and proactive Executive Assistant to provide comprehensive support to the Chief Marketing and Generating Demand Officer. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple priorities in a fast-paced and constantly changing environment. This role requires a high level of confidentiality and professionalism and will handle sensitive information and represent the CMO in various capacities. Strong interpersonal skills and an excellent understanding of what it takes to support someone at this level.

Responsibilities:

  • Manage the Chief Marketing and Generating Demand Officer calendar and time with understanding of business priorities and other variables. Proactively addressing conflicts with the ability to see around the corner and connect all the dots so time is spent efficiently.
  • Prepare any pre-reads for meetings including agendas, reports, presentations to ensure Chief Marketing and Generating Demand Officer is prepared.
  • Manage travel schedule - both domestic and international including commercial planes, transportation, hotels, visas.
  • Reconcile travel expenses using Concur, reconcile monthly P Card and other monthly expenses.
  • Work collaboratively with our ELT and Center for Demand Generation LT members on monthly meeting agenda and arrangements to include agenda setting, catering, room management, IT etc.
  • Plan, lead and execute on any special projects that relate to offsites, events, conferences, tracking timelines and deadlines to ensure project is on track across multiple stakeholders.
  • Manage Budgets
  • Coordinate with IT, Security and Facilities on any office related matters.
  • Other duties as directed.

Job Requirements:

Minimum 7 years of C Suite experience preferably in a large multinational organization.

Essential:

  • Demonstrates professional judgement at all times.
  • Excellent time management, organization and interpersonal/communication skills both written and verbal.
  • Ability to multitask and juggle competing demands.
  • Works collaboratively with ELT and Executive Administration Team for both Nestle USA and Nestle in the Market (NIM), IT, Facilities, Security and others. Builds and maintains strong relationships with all.
  • Detail oriented and results minded.
  • Proficiency across following platforms: All Microsoft suite of products, Sharepoint, Concur.
  • Passion and champion of the Nestle portfolio of products.
  • Ability to travel on occasion.
