Purpose
The Manager, Marketing Commercial Operations will provide commercial support services across one to two strategic pillars. These services will include Congress & Sponsorship Management, Literature Fulfillment, HCP Contracting, Speaker Programs and Patient Programs Leadership. The Marketing Commercial Operations team will adapt alongside the commercial organization as they change in size and promotional orientation. Critical to the success of this role and the team is the ability to handle sensitive information with great attention to detail and discretion, while continuously delivering process improvements to drive efficiency and effectiveness.
Main Responsibilities
- National Conference & Sponsorship Management
- Partner with Marketing, Sales, Medical and vendors to execute National Conferences for assigned strategic pillar(s). Serve as primary point of contact and own relationship with organizers and vendors.
- Responsible for the completion of planning, execution, communications, trainings and follow up for each National Conference.
- Lead all cross functional planning meetings, prepare and present pre-con and post-con materials to internal attendees.
- Manage all National Conference and Sponsorship requests in Chiesi Events Hubs with appropriate documentation and ensure timely processing of requests and processing of funds via support of Specialist.
- Travel and attend select National Conferences to oversee proper execution of booth initiatives, literature shipments/returns, and associated marketing programs and ancillary events.
- Speaker Programs
- Execute upon GRD business rules in partnership with compliance and CARE enterprise operations team.
- Lead Chiesi Events Hub management for GRD, overall programming and initial roll out across commercial function. Act as an Admin within the Hub platform once launched, which includes helping address platform issues, helping manage users, etc.
- As Chiesi moves away from agency supporting speaker programs, this role will be acting as a project manager for all speaker programs within assigned strategic pillar(s).
- Support sales team in execution of programs, as needed
- Lead speaker bureau build out for each brand, annual speaker training and evolution of programs under Marketing direction.
- Manage HCP contracting, process management and payment/reimbursement ensuring discretion and accuracy with support of Specialist.
- Support overall metrics reporting and KPI implementation.
- Support necessary reporting in conjunction with compliance.
- Execute upon GRD business rules in partnership with compliance and CARE enterprise operations to ensure alignment across business unit
- Follow approval process workflow, plan for execution of successful patient programming compliantly and under direction of Marketing.
- Support sales team in execution of programs, as needed
- Manage HCP contracting, process management and payment/reimbursement ensuring discretion and accuracy with support of Specialist.
- HCP Contracting
- Support commercial function on contracting HCPs and processing payment in a timely manner including but not limited to speaker programs, patient programs, symposia and sales training.
- Project manage all physician engagements from initial contracting phase in conjunction with marketing through to oversight of Specialist to ensure completion of invoicing/reimbursement form and processing payment in a compliant and timely manner.
- Literature Print & Fulfillment
- Act as the primary point of contact between Marketing, Sales, and vendor for promotional literature print and fulfillment.
- Manage inventory levels, dissemination, expirations and forecasting for all printed promotional items within strategic pillar(s).
- Project manage print process through to fulfillment, from initial quoting with alignment from marketers through to sharing drop shipment tracking to field sales team.
- Complete new inventory templates to be uploaded into Jetmail portal for ordering.
- Attend PRB for strategic pillar(s) and agency status meetings as needed.
Experience Required
- Minimum of 5 years in a supportive role in marketing, marketing operations, event management or administration preferably in pharmaceutical, medical device or related industry.
- Self-starter, team player with a strong background in project management as well as customer service.
- Task oriented with excellent sense of priority, analytical and interpersonal skills with keen attention to detail. Must be able to manage multiple competing priorities.
- Excellent written and oral communications skills and ability to interface with all business groups at all levels.
- Proficiency in Microsoft applications (Outlook, Word, Excel, and PowerPoint).
Education
