The bnsf | tech division drives innovation and efficiency by developing and maintaining advanced technological voice solutions across the enterprise. This team ensures a resilient and intelligent voice and contact center infrastructure, supports mission-critical communication platforms, and enhances customer engagement technologies. Their expertise is essential in optimizing service operations and enabling BNSF to deliver responsive, innovative, and reliable transportation experiences.

Travel is minimal to none.

Daily work is conducted in a safe indoor office environment.

Key responsibilities may include:

  • Provide administrative support to various individuals within the bnsf | tech department.
  • Manage calendars for bnsf | tech senior leaders and others within the department. This task involves setting up internal/external meetings, arranging for travel, and scheduling outside meeting attendance, along with tracking meeting attendance.
  • Set up meetings that may require reserving rooms (both on and off campus locations), ordering catering (from both in-house and outside caterers), sending invitations and communications to attendees, and assisting with Audio-Visual set-up.
  • Answer calls and emails for various bnsf | tech leaders.
  • Work with other Administrative Assistants to ensure phone coverage and provide support to other assistants and/or bnsf | tech leaders, as needed, either during or after working hours
  • Assistonswith onboarding of new bnsf | tech employees. Onboarding consists of ordering computer equipment, cell phones, credit cards, etc.
  • Schedule travel reservations for employees through Concur system. Gather and assemble information on travel itinerary (times and details on flights, hotels, ground transportation, dinners, attire, etc.)
  • Process expense reports through Concur system by reviewing charges, obtaining necessary receipts/documents, and verifying that reports are processed in accordance with Travel Policy.
  • Order office supplies through Materials Management Launchpad System ensuring all items are ordered in a timely, efficient manner while being mindful of spending costs and department budgets.
  • Assist in the planning of Town Halls and staff meetings.
  • Communicate effectively with internal/external stakeholders.
  • Handle all confidential matters discreetly and shared on a need to-know basis.
  • Meet deadlines, follow-up on actions, and be accountable for adhering to all company policies and procedures.
  • Work in a team environment with ability to adapt to changing conditions.
  • Maintain a professional work environment.

BASIC QUALIFICATIONS:

  • Able to meet minimum typing requirement of 25 wpm and must pass a BNSF-arranged typing test.
  • Efficient in Microsoft Office Suite Applications (Word, Outlook, Excel, PowerPoint)
  • Experience in managingC-Suite calendars for internal/external meetingsincluding all facetsof travel arrangements.
  • Strong written and verbal communication skills.
  • Effective time management skills with ability to prioritize conflicting schedules.
  • Proactive and positive mindset.
  • Detail-oriented and problem solver.
  • Ableto work independently and in a team environment.

PREFERRED QUALIFICATIONS:

  • Bachelors degree, currently working towards a degree, or continued education hours.
  • Professional administrative certification.
  • Previous experience supporting executive level leader.
  • Experience with Concur System for travel arrangements and expense report preparation.
  • Experience with Material Management LaunchpadSystem for ordering supplies.
  • International Travel experience, including VISA applications.
