Summary:

Reports to the Medical Staff Services Credentials Manager and is responsible for the coordination of credentialing (initial credentialing and/or re-credentialing) of the medical staff and allied health professionals for all Brown University Health affiliated hospitals. Primary responsibility is the timely completion of credentialing and/or re-credentialing processes and the maintenance of comprehensive physician databases. Ensures consistency and compliance with regulatory and The Joint Commission (TJC) requirements, CMS credentialing requirements, the hospitals' Medical Staff Bylaws, Rules and Regulations, procedures and time frames. Ensures compliance with individual clinical departmental staffing plans. Acts as a resource for Credentialing Specialist staff providing guidance on data entry, database maintenance, processing of initial and reappointment applications. Identifies system and individual issues; participates in problem solving and final resolutions. Ensures consistent and timely preparation of findings for review by the Credentials Committee.

Responsibilities:

Assists Manager with coordinating activity of Credentialing Specialist staff including staff training, orientation to the department and scheduling. Provides feedback to manager related to performance of team. Counsels and provides guidance to staff. Communicates regularly and effectively with employees. Coaches staff related to performance measures ensuring staff members are aware of their performance in relation to job expectations. Ensures formal appraisals completed on schedule and in adherence with hospital policies.

Evaluates effectiveness of credentialing policies, procedures and data base management and office systems. Revises practices, develops and implements changes as necessary to achieve efficient and effective use of resources and to ensure full compliance with applicable standards and bylaws of all Brown University Health Affiliated Hospitals.

Develops and maintains effective working relationships with other department personnel, as well as external contacts including physicians, department chiefs, division directors and department administrative personnel to expedite information exchange and resolution of common issues. Receives and answers all questions relative to medical staff credentialing within scope of responsibility.

Communicates effectively, oral and written, to ensure support staff has the information required for credentialing and database maintenance. Facilitates communication between hospitals to foster teamwork and enhance recognition of the department despite geographical separation.

Seeks and incorporates staff and outside department input to improve department operations. Corresponds directly to appropriate personnel regarding medical staff credentialing issues for appointment or reappointment to a Brown University Health Affiliated Hospital. Discusses issues and information with appropriate department chief, applicant, Credentialing Manager, Director of Physician Affairs, CMO's, Credentials Committee and others as required.

Regularly attends and provides support to Hospital Credentials Committees. May serve as recording secretary. Represents the Medical Staff Services Department in internal and external forums as requested.

Manages the completion of the medical staff credentialing process for appointment and reappointment at Brown University Health Affiliated Hospitals. Process includes receipt of requests for applications, reapplications and/or changes in staff appointment and/or delineated clinical privileges; forwards appropriate materials, receives completed application; ensures appropriate processing of credentialing applications and reapplications. May coordinate temporary or emergency medical staff appointments; provides notification to hospital department personnel of new and/or temporary appointee and/or changes to medical staff appointments throughout the hospital. Verifies all credentials and references. Compiles completed applications or requests for changes to appropriate Division Director and/or Department Chief within dictated time frame, alerting Supervisors and appropriate Credentials Committee Chairperson to irregularities. Participates in the preparation of Credentials Committee agendas and includes MD profile for each affiliated hospital to which applicant is applying.

Prepares Board of Trustees letters for medical staff members notifying them of appointment or changes. Notifies appropriate hospital department personnel of new and/or temporary appointees to the medical staffs and changes to medical staff appointments throughout the hospital.

Maintains all medical staff and allied health professional credential files for Brown University Health Affiliated Hospitals.

Performs other related duties, as required.

BASIC KNOWLEDGE:

Level of knowledge of business practices and procedures, computer applications and communication skills normally acquired through an Associate Degree in business administration or the equivalent preferred

Certification by the National Association of Medical Staff Services preferred or must attain certification within 2 years of hire; or within 2 years of initial eligibility to sit for the certification exam.

EXPERIENCE:

Minimum of three years relevant experience in a credentialing environment, or five years of related administrative experience in a health care environment.

Ability to multi-task, plan and prioritize a large volume of

detail-oriented work in an independent manner and in accordance with departmental needs

Successful experience demonstrating the use of interpersonal skills necessary to communicate and gather information from all levels of personnel (e.g. physicians, administrative personnel and administrative leaders), and the ability to handle highly confidential data in secure and trustworthy manner.

Analytical and organizational skills to effectively develop and maintain centralized credentialing systems and physician databases.

Strong working knowledge of Microsoft Office 365

products, Adobe Pro, virtual meeting platforms and

database experience.

Current knowledge of TJC requirements, CMS credentialing requirements, state regulations and credentialing processes.

Required continuing education in federal and regulatory education related to credentialing.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:

Normal working environment with little to no exposure to any adverse environmental conditions. Extensive computer/keyboard use is required.
