Position Description:
As an Administrative Assistant Sr. in Corporate Compliance you will perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures, under general direction.
Primary Functions
- Assist with management of office workload including the administrative duties related to claims and litigation. Schedule depositions, draft letters, calendering significant dates, organizing files and assist in responding to subpoenas.
- Assist in the management of the MCW Professional Liability Insurance Program under the supervision of the Director. Maintain database of insureds and claims. Assure database accuracy as to insurance coverage of MCW physicians and allied staff. Prepare certificates of insurance for insureds as requested and for yearly renewals. Respond to requests for claims histories and certificates of insurance in a timely manner. Prepare and maintain database as to for Wisconsin Patients Compensation Fund coverage. Report changes in coverage to Fund. Understand statutory requirements as to Fund coverage and assure that procedures are followed to insure coverage.
- Maintain database for non-insured MCW physicians and allied professionals to assure appropriate primary insurance coverage. Obtain insurance certificates from non-insured MCW employees and volunteers for review by the Director.
- Assist with preparation of files for monthly credentialing committee including obtaining prior claims histories and reviewing liability coverage, assisting in evaluations of prior claims. Provide certificates of insurance for newly credentialed physicians and allied staff in a timely manner and termination documents.
- Maintain access to the Risk Management Web based certificate of insurance and claims history.
- Assist with conference event planning tasks such as processing conference registrations, maintaining accurate conference financial information, speaker payments and helping to make arrangements for presentations, speakers and attendees.
- Screen telephone calls and visitors to resolve routine to complex inquiries. Use discretion in responding to inquiries.
- Coordinate schedules, meetings, appointments, and travel itineraries and related arrangements.
- Compose correspondence, reports, memorandums and other documents using basic and advanced computer applications and software packages. Develop spread sheets, create macros and templates, and create databases. Manage computer files.
- Process requisitions and invoices. Assist in monitoring expenditures.
- Process incoming and outgoing mail. Organize file system. Maintain records. Maintain office equipment. Order office supplies.
- Carry out recurring office procedures.
Knowledge - Skills - Abilities
Ability to learn new tasks quickly and asks appropriate questions, ability to communicate professionally, ability to prioritize, accuracy and attention to detail. Excellent oral and written communication skill are essential. Strong critical thinking and problem solving required. Accurate. Ability to demonstrate responsibility and dependability when completing assignments, plan and organize work according to established priorities and complete assignments within established timeframes. Demonstrates cooperation, courtesy and consideration when working effectively with varied people. Ability to work independently.

Position Requirements:
Appropriate experience may be substituted on equivalent basis
Minimum Required Education: High school diploma
Minimum Required Experience: 5 years
Preferred Education: Associate's Degree
Preferred Experience: 5 years progressively responsible administrative positions. Experience with litigation, hospital credentialing and/or insurance
