Executive Assistant - Commercial Operations

The Executive Assistant provides administrative assistance and functional project support to the Head of Commercial and other VP, Directors on Commercial Team. Concurrently manages multiple projects, programs and tasks with competing priorities and deadlines while maintaining a level of professionalism consistent with the senior executives being supported.

  • Conducts all administrative support for the Head of Commercial & supports other VP level commercial colleagues as needed.
  • Coordinates complex scheduling of meetings, webinars, video conferences and conference calls.
  • Manages daily schedule for Head of Commercial.
  • Provides training and support as needed for Administrative Assistants.
  • Proactively plans and schedules appointments, identify and resolve to scheduling changes or conflicts. Ensures materials are prepared for meeting attendees and when applicable, initiate webinar / teleconference.
  • Composes /ghost writes written communications (presentations, correspondence, and emails) on behalf of Head of Commercial for internal and external audiences.
  • Provides support for off-site business meetings, including logistics, ground transportation, hotel and business office as needed.
  • Efficiently coordinates travel logistics, including air fare, hotel accommodations, ground transportation, dinner reservations, conference registration and other travel requirements.
  • Compiles and complete expense reports for employee reimbursement and corporate credit card payments using approved reimbursement tools.
  • Provides executive assistance in managing calendar, filing and optimizing time availability of executives.
  • At direction of Head of Commercial, works with external and/or internal partners to coordinate business meetings or events with key customers and/or Upsher-Smith colleagues to deliver exceptional customer experience-including logistics, site selection, food, beverage and decor
  • Maintains highest level of confidentiality of personnel and business issues.
  • Professionally represents USL and frequently interacts with Bora business partners (in person, voice mail and email) to arrange meetings, appointments and coordinates travel details for guests to USL offices.
  • Utilizes Microsoft Office 365 to create presentations, organizational charts, design spreadsheets or databases Utilizes the internet for research and information.
  • Coordinates the execution of consulting agreements, SOW, confidential agreement, contracts and purchase orders.
  • Ensure all administrative activities are completed effectively and efficiently, including screening phone calls, maintaining files and screening emails.

Education: High School Diploma Required

Experience Years & Type: A minimum of 7 years administrative experience supporting senior executives (VP/EVP). Administrative experience must include creating multimedia presentations, writing professional correspondence, coordinating calendars in multiple time zones, coordinating international & domestic travel, scheduling meetings including lunches, and managing expense reimbursement processes. Ability to effectively communicate in writing and verbally. Knowledge and experience with Microsoft Office required. Knowledge of Concur Travel & Expense and SharePoint strongly preferred. Ability to be well organized, plan and prioritize own workload.

Candidates must be local; this is a hybrid role.

Compensation Range:

$75,789.00 - $113,684.00
