Vice Provost for Undergraduate Studies

Job Description

This position provides shared support to the Vice Provost for Undergraduate Studies (VPUGS) and the Director of Academic Advising Initiatives. The role involves assisting VPUGS with coordination among program directors, serving as a liaison to several undergraduate faculty committees, and managing confidential information with discretion and sound judgment. The individual will engage with a broad range of stakeholders including students, faculty, staff, parents, alumni, and external partners and will help manage both ongoing projects and day-to-day activities tied to high-priority initiatives.

Position Expectations and Responsibilities:
* Effectively manage calendars and scheduling for designated executives.
* Coordinate and schedule meetings, including room reservations, audiovisual setup, and refreshments as needed.
* Respond to appointment and meeting requests professionally, maintaining confidentiality and prioritizing appropriately.
* Prepare agendas and supporting materials for daily meetings; anticipate informational needs.
* Coordinate travel arrangements and process expense reimbursements.
* Provide support for recurring meetings (e.g., Committee on Undergraduate Education, Undergraduate Deans, monthly team meetings) and special events.
* Prepare presentation materials, meeting agendas, and assist in addressing time-sensitive issues.
* Arrange meetings and prepare materials for special projects involving internal and external stakeholders.
* Take meeting minutes and document key outcomes.
* Coordinate retreats and other special events, including logistics and materials preparation.
* Organize, copy, and distribute materials in advance of meetings.
* Research, compile, and summarize data for Vice Provost review and action.
* Draft, edit, and proofread correspondence, reports, and other official documents for accuracy and clarity.
* Manage incoming and outgoing communications, including mail, email, phone calls, and inquiries.
* Prepare professional correspondence from dictation, rough drafts, or independently as needed.
* Maintain filing systems and ensure timely document storage and retrieval.
* Maintain office supply inventory and place orders as needed.
* Greet and assist visitors professionally; assess needs and direct appropriately.
* Build effective relationships with students, staff, faculty, and University departments.
* Represent the Vice Provost for Undergraduate Studies on the Undergraduate Curriculum Committee, addressing complex academic matters as needed.
* Maintain accurate contact information on designated webpages.
* Update and maintain organizational charts and campus/division directories.
* Perform additional duties as assigned, including Records Management oversight, supervising student workers, and supporting campus fundraising or departmental needs.

Supervision Received:
This position will report directly to the Vice Provost for Undergraduate Studies, with indirect reporting lines to the Director of Academic Advising Initiatives.

Shift

Monday-Friday, 8 a.m. - 5 p.m.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

* Ability to communicate well, both verbally and in writing, with high level officials
* Confidentiality is imperative
* Knowledge of the University and department policies and procedures
* Embrace the mission and purpose of higher education
* Strong IT/technology skills, proficient knowledge of Word, Office, Excel, PowerPoint

Anticipated Hiring Range

Salary Range: $55,000-$62,000 annually

Grade: GGS-09E
