Posting Summary
Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Secretarial Assistant III. Reporting directly to Budget Manager II, this position provides administrative support to full and part-time faculty (assigned 12-20 faculty).

This position is responsible for and not limited to the following:

  • Assists with course preparation, evaluation, and research via the Internet and other modern search avenues
  • Makes travel arrangements
  • Prepares expense reports
  • Procures expenses, as required
  • Composes routine correspondence,
  • Assists in the preparation of classroom materials and uses office technology and software
  • Serves as first line of assistance to assigned professors working in a team-oriented and collaborative environment

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Minimum Education and Experience
Requires a high school/vocational school education or equivalent, plus one of the following: a) Four years secretarial experience; b) One year college level study plus three years of any equivalent combination of: secretarial experience, advanced secretarial training, or clerical experience, provided secretarial experience accounts for at least one year of any such combination; c) An equivalent combination of secretarial experience and up to two years advanced secretarial training. Requires demonstrated data entry/word-processing/typing skills and working knowledge and the ability to use basic spreadsheet, word-processing, database software, and/or email. Must be able to communicate effectively. Must have effective client service skills. May require shorthand, stenographic, and/or machine transcription skills.

* Requires a bachelor's degree in a related field, or an equivalent combination of education and/or experience.
* Demonstrated knowledge and understanding of modern office administration, organization, coordination, facilitation, bookkeeping and report writing.
* Excellent communication skills and computer literacy.
* Experience with Microsoft Office, Adobe Pro, and WordPerfect Software.
* Working knowledge of electronic mail, file sharing, calendaring, and collaboration tools.
* Technical ability to perform all tasks, as well as any new technology.
