The Invoicing Clerk is a vital member of the clinical research administration team, ensuring that Research Administration receives payment for invoices related to industry sponsored clinical research. They are responsible for creating and maintaining accurate records of all invoices, reconciling discrepancies in invoices & receipts, creating reports to management to analyze financial data and responding to inquiries regarding billing & invoicing from sponsors, coordinators, leadership and PIs.

Essential Functions of Position



  • Entering data into Oncore and excel to create invoices
  • Reading sponsor contracts in order to understand the allowable invoicables
  • Preparing and sending out invoices to sponsors
  • Verifying the accuracy of invoices with coordinators before sending them out
  • Reconciling payments received with outstanding invoices and against EDC activity
  • Following up with sponsors regarding overdue invoices
  • Developing and implementing procedures for efficient invoicing processes
  • Enter data that's accurate and error-free
  • Interact with sponsors regularly.
  • Responsible for maintaining accurate financial records
  • Responsible for communicating with OVPR accurate deposit of payments
  • Responsible for reconciliation of payments on the general ledger


Experience and Education

Bachelor's Degree and two years of experience. An equivalent combination of education and experience may be considered.

Required Skills and Abilities



  • Excellent attention to detail and strong data entry skills
  • Good communication and organizational skills
  • Familiarity with computer programs (i.e. excel)
