Position Overview

This role will be based onsite in Denver, CO.

The Manager, Workplace Operations plays a key role in shaping a high-functioning, people-centered office environment that enhances productivity, engagement, and culture. This individual is responsible for the day-to-day management of office operations, facilities, space planning, and in-office events. The role includes programmatic support for the Executive Assistant (EA) function and direct supervision of an Workplace Operations Coordinator. This person will act as a key connector across teams, ensuring seamless coordination of administrative services and a consistent, positive in-office experience.

Essential Job Functions

EA Program Coordination & Support

  • Serve as a central point of coordination and resource for the EA team, providing logistical and operational support.
  • Help assess EA coverage needs and assist with temporary support or reassignments during absences or transitions.
  • Offer guidance on shared processes, tools, and standard methodologies.
  • Partner with EA managers to provide feedback and operational insights to improve team efficiency and collaboration.
  • Support onboarding and orientation of new EAs as needed.

Office Administration Supervision

  • Directly supervise the Workplace Operations Coordinator employee responsible for:
    • Front desk and visitor experience
    • Office/kitchen supply management and vendor coordination
    • Scheduling and driving internal office events and culture-building activities
    • Providing general administrative support across departments
  • Provide workload prioritization, coaching, and day-to-day oversight.

Facilities & Office Management

  • Oversee daily operations of the physical office, ensuring functionality, safety, and cleanliness.
  • Serve as the primary point of contact for building management and facilities vendors.
  • Manage service tickets, repairs, and ongoing vendor performance.

Space Planning & Seating Coordination

  • Manage seating assignments, space utilization tracking, and moves/adds/changes within the office.
  • Partner with IT, HR, and Facilities to support smooth onboarding, offboarding, and internal relocations for Denver based employees.
  • Maintain accurate seating charts and occupancy data across all North America locations.

Employee Engagement & Office Events

  • Plan and execute in-office events, seasonal celebrations, and employee engagement activities aligned with company culture.
  • Collaborate with cross-functional stakeholders (e.g., People & Culture, Communications, JEDI) to deliver inclusive and engaging programming.
  • Collect and analyze feedback to improve employee experience.

Budgeting & Administrative Oversight

  • Manage budgets related to workplace operations, supplies, office services, and events.
  • Identify opportunities to optimize spending and streamline operations.

Onboarding Experience Management

  • Continuously improve the Denver onboarding experience based on employee feedback and cross-functional input.
  • Partner with People Experience, IT, and EAs to ensure a smooth and coordinated Day 1 experience for all Denver based employees.
  • Coordinate the physical and logistical onboarding of new hires to the Denver office, including workstation setup, seating assignments, and welcome materials.

Emergency Planning & Safety

  • Serve as the primary contact for building security regarding safety issues and emergency response.
  • Coordinate with property management and internal stakeholders to ensure compliance with safety standards and preparedness for drills or incidents.
  • In collaboration with internal stakeholders, own the development, communication, and training of emergency response procedures, including evacuation plans and safety protocols.

Data & Reporting

  • Use data to drive continuous improvement in space planning, employee engagement, and vendor performance.
  • Prepare reports and dashboards to share trends, operational metrics, and recommendations with leadership.
  • Track and analyze data related to space planning, occupancy, supply usage, and budget performance.

Workplace Strategy & Continuous Improvement

  • Collaborate with the People Experience and IT teams to identify and implement enhancements to workplace technology and collaboration tools.
  • Lead initiatives to optimize office sustainability practices and space utilization.
  • Develop and implement office policies, procedures, and workplace standards to improve the overall employee experience and operational efficiency.

Vendor & Contract Management

  • Ensure compliance with procurement policies and budgetary guidelines.
  • Negotiate terms, manage renewals, and monitor performance against service level agreements (SLAs).
  • Manage all vendor relationships and service contracts related to office operations, including janitorial, maintenance, security, catering, and office supply services.
  • Liaise between employees and property management for parking or access needs.

Job Requirements

Education & Experience:

  • Bachelor's degree in Business Administration, Facilities Management, Operations,and/or equivalent experience preferred.
  • 5+ years of experience in office operations, facilities coordination, or workplace services.
  • Demonstrated success managing office programs, vendor relationships, or space planning initiatives.
  • Experience partnering cross-functionally with HR, IT, executive support, and real estate/facilities teams.

Skills & Competencies:

  • Strong organizational and project management skills with a proven ability to manage competing priorities and deadlines.
  • Excellent interpersonal and communication skills; comfortable interfacing with employees at all levels, including executives.
  • Proactive, resourceful, and able to anticipate needs before they arise.
  • High attention to detail and ability to identify and implement process improvements.
  • Confident in navigating vendor negotiations, office safety planning, and space management tools or systems.
  • Discretion, sound judgment, and professionalism in handling sensitive information.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams).
  • Experience with workplace tools such as space planning software, visitor management systems, or facilities ticketing systems a plus.
  • Travel required is expected to be up to 20% but may increase over time as the business evolves

Additional Details

  • Salary Range: $120,000 - $130,000 Base + Bonus (this range is based on Colorado market data and may vary in other locations)
  • This position is eligible for company benefits including but not limited to medical, dental, and vision coverage, life and AD&D, short and long-term disability coverage, paid time off, employee assistance, participation in a 401k program that includes company match, and many other additional voluntary benefits.
  • Compensation for the role will depend on a number of factors, including your qualifications, skills, competencies, and experience and may fall outside of the range shown.
