Responsibilities

Under general supervision this position is responsible for a variety of routine, physical and clerical duties in support of office operations at the DeWitt Corporate Headquarters of Community Financial System, Inc. The major functions of this position will include providing administrative and physical support to the Facilities Team and DeWitt HQ Office, maintaining various facilities and office related reports, supplies and resources, processing incoming/outgoing mail.

Essential Duties:

  • Coordinate and schedule maintenance and repairs for Corporate Office building and equipment.
  • Provide support to employees and visitors with facility-related issues, answering inquiries and coordinating communication
  • Staff and maintain the DeWitt mailroom to include handling of postage meter and postal account funding,
  • Manage inventory of Corporate Office Supplies and keep main kitchen properly supplied and maintained.
  • Process all incoming/outgoing mail to include interoffice, USPS, UPS, etc.
  • Verify identification and accompany various vendors through the Corporate Office building
  • Manage Corporate Office vendor supplies, services and invoicing
  • Provide and/or assist with set up of meetings, trainings, gatherings, etc. at the Dewitt HQ building.
  • Assist with logistical support for office moves, space allocation and furniture needs
  • Maintain the Dewitt HQ office lock and key control program.
  • Coordinate approval and submission of facilities related, bulk invoicing
  • Prepare corporate facilities budget information for distribution, maintain facilities site inspection and location open/close reports, etc.
  • Maintain Corporate Office vehicle maintenance records and service scheduling to include the vehicle inspection check list, AAA Memberships, inventory lists and vehicle registrations.
  • Maintain all company vehicle purchase, title and registration records
  • Maintain facilities records, resources and spreadsheets by keeping information current, to include Facilities property lists by regions-alphabetic and numeric, and other resources as needed and/or developed.
  • Maintain proficient knowledge of, and demonstrate ongoing compliance with, all laws and regulations applicable to this position, ensure ongoing adherence to pertinent policies, procedures, and internal controls, and meet all job-specific training requirements in a timely fashion.

Ancillary Duties:

As an integral member of the Facilities Department this position is responsible for providing assistance whenever necessary to ensure that the department, the bank and its employees meet their goals.


Qualifications

Education, Training and Requirements:

  • A minimum high school diploma or GED
  • All applicants must be 18 years of age or older

Skills:

  • Strong organizational, interpersonal and clerical skills; basic computer skills including Microsoft Office applications (Outlook, Excel, Word); ability to operate office machines (e.g. photocopier, fax machine, postage meter); ability to operate basic maintenance tools; Must be able to regularly lift items weighing up to 50 pounds.

Experience:

  • Minimum of two years experience in a related position normally preferred.

Other:

  • Must have a valid driver's license.
