The Global Travel & Expense Manager at Chemelex is responsible for overseeing the company's travel and expense program, ensuring accuracy, compliance, and efficiency in expense reporting and reimbursement. This role involves close collaboration with employees, finance teams, and external vendors to streamline T&E operations, resolve discrepancies, and uphold corporate policies.
What does a day in the life looks like: Expense Report Management:
Review and process employee expense reports in accordance with company policies. Identify, investigate, and resolve discrepancies or policy violations. Assist employees with questions/issues and ensure expenses are submitted timely. Backend configuration of expense system including policy and audit configuration, credit card feeds, Concur Pay banking, remittance files, HRS feed, privacy settings, mileage configurations etc. Resolve platform issues with support team. Maintain administrative access and provide support and training to global admin team.
Travel Policy Compliance
Provide feedback on policy modifications in line with global travel markets. Train new employees on use of all T&E systems including policy adherence. Vendor & System Coordination Serve as point of contact for travel agencies, expense platform providers, and corporate card issuers. Troubleshoot and resolve system-related issues (e.g., Concur, SAP, Expensify). Manage business expectations with 3rd party vendors including budget, savings, adoption and leakage. Collaborate with indirect sourcing on RFQs and contract renewals for T&E vendors. (Credit Card Providers, TMC, EMT, Airlines, Hotels, Car Rental Agencies, Ride Apps) Attend monthly and quarterly QBRs with all T&E vendors. Reporting & Analytics Generate regular reports highlighting T&E trends, policy exceptions, and cost-saving opportunities. Support internal and external audit requests with appropriate documentation. Provide reporting as needed for internal business partners (tax, finance, HR) and managers around spending trends. Recommend and implement enhancements to T&E processes and workflows. Conduct training for employees on system use and best practices.
Corporate Card Administration
Manage the corporate card program, including issuance, limits, cancellations, and reconciliations. Work with credit card vendors on hierarchy management, program structure, FTD, transaction feeds and managing account limits
YOU HAVE:
Associate's or Bachelor's degree in Finance, Accounting, Business Administration, or a related field preferred. 2+ years in travel & expense administration, accounts payable, or a similar finance function preferred Experience with expense management tools (e.g., Concur, SAP, Expensify) and corporate credit card programs preferred. Proficiency in Microsoft Excel Ability to manage confidential information with discretion and professionalism. Prior experience in a multinational or fast-paced corporate environment preferred Familiarity with international travel compliance and tax implications (e.g., VAT/GST reclaim) preferred
