**This position is an onsite role based out of our St Louis Park, MN office.***

We are looking for a reliable Facilities Coordinator at our St Louis Park location to be our first point of contact with our clients. This role is primarily responsible for accurately recording pertinent details from service requests and setting up workorders in Sage software to assign the work to the appropriate field technicians.

The ideal candidate must have excellent communication skills and place customer service as priority with great attention to accuracy and detail. To be successful in this role, the ability to multitask and follow up on open items is critical. The Facilities Coordinator position requires working with the appropriate sense of urgency making sound decisions independently when needed. Coordinating schedules, responding timely to emails, answering the main dispatch phone line, and utilizing existing technology to do so are additional, but not limited to, tasks. A teamwork attitude is a must. Excellent communication skills to collaborate with others under any type of condition.

In this role, you will

  • Receive Service requests via email, phone calls or in person and accurately recording then setting up the pertinent information in Sage software, prioritizing accordingly.

  • Assign workorder to appropriate field personnel.

  • Following up with clients utilizing excellent communication and customer service skills.

  • Communicating with field personnel to ensure work is completed timely and clarifying details for them when necessary, communicating back with customers regarding job status.

  • Running weekly workorder status reports timely and following up on open orders, recording notes accordingly.

  • Setting up all workorders required in Sage.

  • Assist with billing as assigned by Client Services Manager.

  • Place orders for products or deliveries upon request.

  • Monitoring GPS system with ability to provide locations of vehicles at any given time and run associated reports upon request.

  • Assisting the HVAC department with equipment condition reports, scheduling, ordering filters, and other requests.

  • Review HVAC proposal for accuracy and make necessary changes prior to being sent to clients.

  • Various administrative duties are assigned to this position; this would include, but not limited to assisting division managers with requests, as in contacting sub-contractors, vendors, or clients on their behalf, working with city offices for permits, ensuring COI's are sent out on request.

  • Proven experience as dispatcher or relevant customer service type position

  • Ability to work with a sense of urgency when needed

  • Tech-savvy with knowledge of relevant methods

  • Accurate experience in data entry

  • Proficient in English (oral and written)

  • Active listener with excellent communication skills

  • Sound judgement and critical thinking

  • They should be accustomed to working independently at times while multitasking several schedules and priorities at once

Approximate Hourly Range for this Role: $23.00 - $31.25

Our hourly ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.

Employees (and their families) are provided options for employer subsidized medical benefits including RX, dental, vision as well as employer paid basic life/AD&D insurance and short-term / long-term disability. Employees are able to enroll in our company's 401k plan, which includes an employer match. Employees will also receive 10 days of sick leave and a minimum of 15-days vacation annually. Certain senior-level roles are eligible for unlimited time off. Employees will also enjoy 10 paid holidays plus two personal flex days throughout the calendar year.Twelve weeks (for birth parents) and four weeks (for non-birth parents, including adoptive/foster parents) for paid parental leave will also be available for use after successful completion of 90 days of employment. Individuals may be eligible for different or additional benefits under applicable state law.
