The Office Administrator serves as the principal administrative point of contact for staff at the Austin location. This role entails a diverse array of significant office responsibilities for personnel across all business units. Responsibilities include interfacing with internal and external stakeholders in facilities management, vendor relations, property management, and procurement.


Main Responsibilities

  • Oversee office operations and facilities to ensure efficient and effective functionality.
  • Manage and direct visitors to the offices and handle telephonic inquiries in a professional and courteous manner.
  • Process property and office facilities requests, including identifying contractors, obtaining quotations, and specifying work orders.
  • Procure and maintain an inventory of office equipment (telephones, computers, printers, etc) and supplies.
  • Replenish the kitchen with food, beverages, and staff amenities on a weekly basis while managing spend of these items within the allotted budget.
  • Serve as a liaison to vendors, including office suppliers, shipping companies, leasing offices, and caterers.
  • Coordinate event planning, such as ordering catering for meetings and organizing venues for staff events.
  • Maintain a professional relationship with the landlord and liaise regarding building maintenance issues.
  • Assist new office staff with onboarding by providing new hire kits and ensuring a seamless first day in the office.
  • Support visitors with local travel arrangements and meeting coordination as required.
  • Collaborate with Human Resources, Legal, Finance, and IT departments on employee-related or administrative matters as necessary.
  • Ensure office health and safety compliance, including the arrangement of First Aid and Fire Marshal training.
  • Serve as a cultural representative and foster a positive working environment within the office leading with the 10/10 philosophy in mind.
  • Complete additional duties as assigned by the Director, Culture and Places.


Required Skills & Qualifications

  • US High School Diploma or equivalent.
  • Demonstrated experience in an office role with increasing responsibility, providing the knowledge, skills, and abilities to perform at the role level, typically gained through 2-5 years of progressive experience.
  • Proficiency in computer usage, including online ordering systems, Google Docs, internet research, and basic troubleshooting of audiovisual systems. The company operates on Macs and utilizes Apple TVs.
  • Availability for travel as required (approximately 3-5 times per year).
  • Strong motivation and performance-driven attitude, with the capacity for professional growth.
  • Ability to multitask and prioritize responsibilities effectively.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • High level of integrity and social awareness for diverse cultures and languages.
  • Comfort and assertiveness in interacting and communicating with internal and external individuals at all levels, including executive management.
  • Professional, courteous, and personable demeanor.
  • Ability to work collaboratively as part of a team.


Preferred

  • Associate's Degree.
  • Experience in a fast-paced office environment.
  • Experience within an organization with global corporate locations.
  • Familiarity with Adobe Suite, JIRA, FreshService, Canva, Slack, Zoom and Concur.


Salary Range: $43,000 - $53,000

In accordance with Colorado's Equal Pay for Equal Work Act (SB 19-085) the approximate compensation range for this role in Colorado is listed above. Final compensation for this role will be determined by various factors, such as knowledge, skills, and abilities.
