Job Summary Step into an outstanding opportunity with Wolfgang Puck Catering, the industry leader in special event dining! We are in search of a Catering Coordinator who is organized, passionate, excels at attention to details to join our team at the iconic Georgia Aquarium. This role offers a Monday-Friday, 9-5 schedule. What You'll Do: You'll be at the heart of our catering and event operations, ensuring every detail shines from inquiry to event execution. Act as the first point of contact for inbound event inquiries and leads. Assist the Sales Team in planning and executing all specialty events. Prepare client proposals and support sales initiatives through research and communication. Conduct client walkthroughs of the venue and provide on-site support during events. Work closely with the marketing team on promotional materials and tracking initiatives. Accurately input and maintain event details in our Reserve system (inquiries, tentative bookings, confirmed events). Prepare event layouts and confirm details with internal departments and external vendors. Maintain organized and up-to-date event files including proposals, contracts, orders, and payments. Update and communicate event guarantees and final details across all departments. Assist the Director of Catering with phone messages, scheduling meetings, travel arrangements, and expense reports. Handle purchasing card (P-Card) and monthly reporting processes. Attend weekly operations meetings and clearly communicate event logistics. Partner closely with the Operations Director and Managers to ensure magnificent event execution. What We're Looking For: Associate's Degree preferred; High School Diploma or equivalent required. 1-3 years in hospitality, event planning, or administrative roles - bonus points if you've worked as a coordinator or assistant! Outstanding communication, organization, and customer service skills. Ability to multitask in a fast-paced environment with integrity and precision.
