Position: Payroll Specialist I | Division: Human Resources| Work Days: Monday -Friday| Hours of Operation: 8:00am - 5:00pm

Position Overview: This role is responsible for preparing and executing timecard and leave pay functions while providing support in payroll operations as a backup resource. The Payroll Specialist works closely with internal partners and vendors to ensure accurate leave processing and compliance with regulatory requirements. This role also addresses timecard and leave pay inquiries, recommends improvements for department processes, and serves as a backup for payroll functions, collaborating with the Payroll & HRIS team on additional tasks as needed. Essential Functions: Time & Attendance
- Serves as a resource for employee leave of absences in partnership with the Benefits team.
- Serve as a backup to transmit time & attendance files via interface to finalize entries for payroll processing.
- Resolve discrepancies identified in time & attendance audit reports for each pay cycle.
Coordinate and process time exceptions, such as PTO advancements, carryovers, and cancellations. - Maintain up-to-date knowledge of FLSA, DOL regulations, FMLA, and HIPAA guidelines to ensure confidentiality and compliance.
- Review of claims experience reports to monitor leave benefits utilization.
- Serve as primary for calculation of worker's compensation and leave of absence pay and ensuring accuracy of employees' timecard / pay during leave periods.
- Ensures the accuracy of time off balances for all employees.
- Provides accurate data to third-party providers / vendors, employees, and managers to support the leave administration.
- Responsible for short-term & long-term disability calculations and ensures employees are not overpaid or underpaid.
- Responsible for entering policy assignments while employees are out on leave of absences.
- Retains and properly documents all correspondence as it pertains to leave of absences.
Payroll Administration
- Maintains employment status in ADP Workforce Now for all employees beginning and returning from approved leave of absences.
- Serves as a backup to prepare and execute semi-monthly payroll processes, including new hires, rehires, terminations, and personnel action forms (PAFs) for promotions, merits, bonuses, and organizational changes.
- Serves as a backup to process self-service requests (e.g., W-4, direct deposit authorizations) and address payroll adjustments for incentives, mortgage commissions, on-call payments, and imputed income/awards as applicable.
- Serves as a backup to conduct semi-monthly reconciliations, handle general ledger (GL) uploads, and manage batch transaction entries.
- Serves as a backup to ensure all personnel changes from HR stakeholders are accurately reflected in the applicable pay cycle.
Annual & Special Tasks
- Conduct year-end audits and compliance reviews for payroll and time & attendance records.
- Engage in process improvement projects, document procedures, and support the development of streamlined workflows within the department.
- Manage yearly processes for policy assignments, employee awards, and charitable contributions.
- Responsible for other year-end tasks and project work as needed.
- This position may require travel within the Bank's geographic area.
Experience & Education:
- High School diploma or GED required.
- Associate degree in business administration, accounting, or human resources required.
- Proven work experience may be considered as a substitute for the required degree.
- 2+ years of experience in payroll, time & attendance, and leave functions; 5 years preferred.
- Adequate understanding of leave administration, short-term, and long-term disability.
- Proven ability to multitask effectively with strong written and verbal communication skills.
- Excellent time management and organizational skills, with close attention to detail.
- Strong customer service orientation with a record of meeting internal service level agreements.
- Ability to perform well under pressure in a deadline-driven team environment.
- Knowledge of FLSA, DOL, FMLA, HIPAA, and other relevant federal and state regulations.
- Proficiency in Microsoft Office Suite, especially Excel, Outlook, and Word.
- Experience with payroll software, timekeeping systems, and leave administration software.
Skills & Qualifications:
- Solid understanding of payroll calculations, data analysis, and technical skills in payroll systems.
- Proficiency in identifying and implementing process improvements.
- Excellent problem-solving skills, particularly with payroll and timekeeping discrepancies.
- Ability to work collaboratively with internal and external partners, including vendors.
- Competency in interpreting audit and compliance data.
- Flexibility to adapt to new software updates and system enhancements.
Other Requirements:
- Certified Payroll Professional (CPP), Fundamental Payroll Certification (FCP), or Professional in Human Resources (PHR) are preferred but not required.
- Requires the ability to lift, carry, push, pull weights or otherwise move objects weighing as much as 10 lbs. on a regular basis and/or for extended periods of time during the workday.
- Occasional overtime or extended hours may be required.
