DESCRIPTION

Department of Pediatrics is one of the largest departments within the UCSD School of Medicine with comprehensive clinical programs, extensive basic science and clinical research, and diverse educational opportunities for students, residents and fellows. The internationally renowned faculty play a major role in medical and graduate student training, providing educational and programmatic offerings that span several disciplines and provide diversity to meet the interests of a broad spectrum of students and scholars. More than one hundred trainees at the graduate student and postdoctoral level, as well as more than 300 professional, research and administrative staff who along with the department administrators interact closely with the faculty. The Knight lab in the Departments of Pediatrics, Bioengineering, Computer Science & Engineering, and the Halicioglu Data Science Institute uses and develops state-of-the-art computational and experimental techniques to ask fundamental questions about the evolution of the composition of biomolecules, genomes, and communities in different ecosystems, including the complex microbial ecosystems of the human body. We subscribe to an open-access scientific model, providing free, open-source software tools and making all protocols and data publicly available in order to increase general interest in and understanding of microbial ecology, and to further public involvement in scientific endeavors more generally.

Under general supervision, the Research Program Coordinator will oversee and administer operations for the Knight Lab and the Key Principal Investigator. They will coordinate a multitude of tasks to ensure the seamless operation of research activities. Position will report to the Knight Lab Key Principal Investigator. This includes handling high volume scheduling, maintaining meticulous records and tracking mechanisms, handling an extensive amount of email, proofread letter correspondence, and fostering effective communication among team members, collaborators, staff and faculty. Strong organizational skills, acute attention to detail, and adept communication are vital for proficiently managing operations within a research environment. Position will handle items that are sensitive and confidential in nature and must do so with the utmost professionalism and exceptional judgement. The tasks include organizing all aspects of travel (including international), speaking engagements, meeting and class coordination. The position entails providing support by meticulously updating CVs, UCSD BioBibliography, NIH biosketches and submissions for publication. The position will assist Key Principal Investigator with providing Conflict of Interest disclosures, as well as managing credentials, membership, and journal subscriptions. The role must work independently and uses skills as a seasoned and experienced administrative operations professional to manage, plan and administer the operations of a midsized academic or non-academic department or organizational unit with limited scope. Perform short- and long-term planning for the organization. May supervise staff or students. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

MINIMUM QUALIFICATIONS
  • Seven years of related experience, education/training, OR a Bachelor's degree in related area plus three years of related experience/training.

  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.

  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.

  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.

  • Solid knowledge of common University-specific computer application programs.

  • Ability to use discretion and maintain confidentiality.

  • Strong skills in short-term planning, analysis, problem-solving, and customer service.

  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.

PREFERRED QUALIFICATIONS
  • Ten (10) or more years of relevant experience.
SPECIAL CONDITIONS

Pay Transparency Act

Annual Full Pay Range: $77,000 - $139,200 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $36.88 - $66.67

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
