Supervises and coordinates the outpatient clinical activities related to practice operations, patient registration, scheduling, patient financial services, phone communication, managed care. Evaluates patient services in order to provide safe, efficient and therapeutic care within departmental policies and WVU Healthcare standards. Coordinates work with medical staff and departmental administration, other departments and community agencies. Acts as a liaison with patients, businesses, academic administration, faculty and staff. Demonstrates proficient clinical knowledge in planning and delivering care that has long range implication for the patient population. Coordinates day-to-day business activities of the outpatient clinic.

MINIMUM QUALIFICATIONS:

EDUCATION, CERTIFICATION, EXPERIENCE, AND/OR LICENSURE:

1. Bachelor's degreeANDThree years of experience in a health care settingANDTwo years of healthcare management/supervisor experience;

ORCurrent license to practice as a Registered Professional Nurse in West Virginia or in state of practice is requiredANDFive years of experience in a health care settingANDFour years of healthcare management/supervisor experience.

2. West Virginia state criminal background check required, and Federal, if applicable, for DHHR BMS regulated area.

PREFERRED QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Bachelor's degree in Business Administration or Accounting preferred.

1. Healthcare Experience in a high volume academic environment.

1. Provides day to day oversight to registration and scheduling staff to ensure prompt, courteous service to patients, visitors, providers and co-workers.

2. Knowledge of all areas (patient registration, scheduling, referrals) to be able to fill-in to allow patient care to continue in the event of unforeseen circumstances of regular staff.

3. Monitors daily operation to ensure adherence to documented policies and procedures regarding collection of patient demographic information and financial data.

4. Coordinates registration, scheduling activity and managed care referrals with other clinical facilities and departments to ensure continuity of care and optimal communication.

5. Coordinates and organizes collection and verification of insurance/financial information and referral system pre-certification.

6. Coordinates new employee orientation and ensure training for employees.

7. Assumes authority and responsibility for decision making and problem solving for the outpatient clinic.

8. Ensures staff compliance with annual training, certification and licensure requirements.

9. Makes recommendations on new or revised policies/procedures to improve patient care

10. Responsible for the coordination, organization and delegation of operational aspects of the medical practice to ensure effective, efficient delivery of services.

11. In conjunction with Administrator and Director, Ambulatory Nursing and in accordance with mission and goals, determines the service needs in terms of patient and staff requirements.

12. Works with Department Administrator and Director to ensure clinic operates in a fiscally responsible manner.

13. Purchases and maintains inventory of all office, medical and pharmaceuticals for the clinical operation.

14. Provides input on budget needs for departmental supplies and equipment.

15. Performs work in accordance with all departmental pay practices and scheduling policies, including but not limited to: overtime and various shift work.

16. Monitors facility and equipment for repair and maintenance.Reviews and discusses major purchases and repairs with Medical Director and Department Administrator to ensure that adequate funding is available.

17. Monitors schedules/templates to ensure adequate access to appointments, reduces no shows and increases new patient visits.

18. Works directly with the Department Chair, Administrator and Provider to develop and monitor schedules templates.

19. Coordinates and makes all approved revisions to the scheduling templates.

20. Communicates with Call Center staff on changes/modifications to templates and on any scheduling issues.

21. Monitors and communicates with Department Chair, Administrator, Clinical Faculty, Clinical Staff on JCAHO Standards

22. Selects, hires, and evaluates the effectiveness of employees on a continuous basis.

23. Assists Director with Annual Performance Reviews.

24. Assists Director with ensuring appropriate clinical practice of all clinical support staff within the practice.

25. Promotes teamwork, contributing to positive employee morale.

26. Coaches and counsels to correct identified performance deficiencies. Establishes goals, and provides follow up within established Human Resources policies.

27. Ensures compliance with policies and ensures staff meets the established access and service standards.

28. Devises communication system to keep all personnel informed operations.

29. Demonstrates and promotes a high regard for the dignity, respect and safety of all patients, family members, visitors and personnel.

30. Maintains the confidentiality of patients, family members and the health care team.

31. Promotes and contributes positively to organizational relationships.

32. Serves as a liaison by establishing and maintaining open lines of communication.
