Position Highlights

The Coordinator, Administrative Services (Administrative Support Professional II) will support the Department of Pharmacology and Toxicology. This position reports directly to the Department Head and will provide administrative support for the academic and research initiatives in the department including preparing materials and scheduling meetings, oversee company credit card (PCard) transactions and completion, manage the department head's calendar, collect and distribute data, and prepare department communications. The successful candidate will work closely with our department faculty and college staff to provide administrative assistance and expertise on various topics.

This position will be eligible to work one day remotely, with 4 days in-office.

Duties & Responsibilities
  • Provide direct support to the Department Head for the Department of Pharmacology and Toxicology including calendar management, schedules meetings, organizing travel, and prepare meeting materials.
  • Coordinate, plan and schedule symposiums, meetings, recruiting visits, and visiting speakers including assisting with the preparation of presentations, making travel arrangements, scheduling rooms, preparing itineraries, preparing reimbursements, distributing announcements, and preparing minutes.
  • Provide administrative support to department include maintaining calendars for assigned administrator and faculty, processing travel arrangements and reimbursements, and order office and classroom supplies.
  • Prepare letters and act as the administrative liaison between the Department head and internal and external representatives.
  • Coordinate courses, enter contact hours and post grades for classes.
  • Support the Promotion and Tenure process including updates and reports in UAVitae.
  • Plan and assist with College and Department special events.
  • Attend meetings and take, transcribe, and publish meeting minutes.
  • Receive and screen telephone calls and visitors, answer questions, and provide information in a professional and friendly manner.
  • Train lower level staff of college processes and procedures in relation to PCard transactions, financial transactions.
  • Approve travel requests on behalf of department head.
  • Act as time approver for department.
  • Additional duties may be assigned as it relates to the position.

Knowledge, Skills, and Abilities:

  • Excellent organization skills.
  • Excellent written and verbal communication skills.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
Preferred Qualifications
  • Master's Degree.
