Overview

Responsible for monitoring daily practice support functions, customer service, supervision of non-provider staff (two certified professional coders), facilities and equipment, and budget performance.



Responsibilities

Administrative

    Administers the recruitment, selection, assignment and training of administrative staff. Approves all matters related to employee evaluations, transfers, promotions, discipline, terminations and resignations.
  • Facilitates faculty recruitment activities to include interviews and coordination of faculty appointment and hospital credentialing (as well as reappointment of existing faculty).
  • Initiates all requests for Personnel Action for all positions within the department.
  • Assists Chairman in the preparation of departmental reports.
  • Facilitates clinical scheduling of physicians at all facilities including temporary locum coverage and on call coverage.
  • Maintain customer-focused practice environment with process for feedback from the faculty & staff.
  • Ensure timely response to customer complaints relating to the practice's operation, either in person or by telephone. Work with EVMS MG or Department Chairman as appropriate based upon the complaint.
  • Facilitates EVMS Elective Rotation in Radiation Oncology.
  • Facilitates quarterly ACRO Peer Review reports for Sentara.
  • Provides back up for certified coders as needed.

Personnel Responsibilities

  • Determine, in collaboration with the EVMS MG CEO and Chairman, support staff requirements for the practice.
  • Ensure proper orientation of all providers and support staff.
  • Provide personnel with clear expectations of their responsibilities and encourage the freedom to do creative problem solving.
  • Evaluate all personnel for whom there is direct supervision within the expected time frames.
  • Responsible for entry of time away in the Time and Attendance system for all faculty & staff.

Facilities, Equipment and Supplies

  • Provide a comfortable and satisfying practice setting for the professional staff.
  • Respond to provider needs for equipment and supplies in a timely manner.
  • Ensure administrative area is properly maintained and cleaned.

Financial

  • Assists Chairman in the development of an Annual Budget Plan.
  • Processes and approves all purchase orders, except for self. All purchases for self will be approved by the Chairman and/or designee.
  • Processes travel vouchers for all faculty & staff.
  • Ensures proper coding and timely charge entry for all clinical services provided by the practice.
  • Performs internal audit of professional billing at time of close out to ensure maximum and accurate charge capture; review & process tasks for claims denials. Facilitates internal audits by EVMS MG as well as external audits as needed.
  • Attend monthly meeting with EVMS MG task force to review charge flow, claims denials and bad debt.

Quality Improvement

  • Participate in EVMS Medical Group Practice Management Committee & departmental operational meetings as requested.
  • Keep informed of current trends within group practice through literature and attendance at professional meetings.
  • Develop plans and make recommendations relating to changes in the coding and reimbursement related to Radiation Oncology services.
  • Serve as a liaison with EVMS Medical Group, Sentara clinical staff and other administrative staff within EVMS.


Qualifications

Bachelors Degree plus three (3) years of relevant experience in a medical office environment. Experience working with Microsoft Office Suite, Electronic Health Record, and IDX Billing System is preferred. CPC & ROCC certification and extensive experience working with CPT/ICD 10coding is highly preferred. Must have a comprehensive understanding of all insurance types and requirements. Knowledge of CMS guidelines and National Correct Coding Policy.
