Position Highlights |
This position is responsible for curriculum and enrollment management for all academic programs and administrative support for the American Indian Studies Department in the College of SBS and the American Indian Studies Graduate Interdisciplinary Program (GIDP) in the Graduate College. The person in this position will provide administrative support for the AIS Department Head and the Directors of Undergraduate and Graduate Studies.

Duties & Responsibilities |
Student Services and Curriculum Coordination (30%)
- Assist students and faculty with registration for independent studies, internships, thesis, research, dissertation units, preceptors, and direct research, addressing inquiries and directing students to appropriate resources as needed.
Submit new courses, modifications, and course inactivation's for undergraduate and graduate programs, communicating updates to students as needed. - Work with Director of Graduate Studies (DGS) and Director of Undergraduate Studies (DUS) to maintain and update the schedule of classes, ensuring students have access to accurate course offerings and registration details.
- Monitor class enrollments, Student Credit Hours (SCH), and majors, identifying trends that may impact student progress or departmental planning.
Assist in submitting department proposals for new majors, minors, and certificates, supporting initiatives that enhance student academic opportunities. - Support the Directors of Undergraduate and Graduate Studies and the Curriculum Committee by coordinating administrative tasks and assisting with curriculum-related initiatives.
- Maintain student departmental files, course syllabi, teacher course evaluations, change of grade forms, and other academic records, ensuring accessibility for students and faculty.
Undergraduate & Graduate Coordination (30%)
- Support graduate applicants throughout the admission process, including monitoring applications, communicating with applicants, processing admission letters, and managing the GradApp system.
- Work with DGS to facilitate GTA assignments, including preparing letters, distributing contracts, and collecting GTA performance evaluations while serving as a point of contact for student inquiries.
- Provide administrative support for students completing written and oral comprehensive exams and PhD defenses, ensuring timely communication of requirements and deadlines.
- Assist the Directors of Undergraduate and Graduate Studies (DUS/DGS) in tracking and submitting undergraduate and graduate program assessment data.
- Maintain graduate and undergraduate student files and handbooks, ensuring accessibility and organization for students, faculty, and administrative staff.
- Work with DGS and DUS to submit and track external awards and budgets related to student funding.
- Initiate the award process for scholarships, fellowships, and placeholders, ensuring students receive timely notifications and support.
Student Services & Administration Coordination (35%)
- Serve as the first point of contact for students and visitors by managing the front desk, providing information on academic programs, and directing inquiries to appropriate resources.
- Attend relevant department meetings and provide support, including maintaining meeting notes and agendas, ensuring academic and student-related initiatives are documented.
- Support administrative and business staff with the temporary teaching budget, teaching assignments, and reporting, ensuring alignment with student enrollment trends and program requirements.
- Manage fiscal matters related to graduate student support, scholarships, fellowships, and student travel funding, under the direction of the Program Chair and the Graduate Interdisciplinary Program.
- Plan and coordinate student-centered events, including orientation, graduation ceremonies, recruitment activities, career workshops, committee meetings, speaker visits, retreats, and outreach programs.
- Maintain and update the departmental website, social media, video displays, listservs, and promotional materials to enhance student engagement and communication.
- Assist with logistics and documentation for Academic Program Review/Accreditation, ensuring student services and outcomes are well-represented.
- Serve as building manager for department space, ensuring facilities meet the needs of students, faculty, and staff.
- Other duties as assigned
Faculty Affairs (5%)
- Coordinate Promotion and Tenure process.
- Coordinate sabbaticals and leaves.
- Assist with Annual Performance Reviews and UA Vitae.
- Coordinate Faculty awards, orientations, recruitment, etc.

- Outstanding organizational skills and ability to maintain consistent progress across multiple aspects of project on stated timelines.

Minimum Qualifications |
- Bachelor's degree or equivalent advanced learning attained through professional level experience required.
- Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.

Preferred Qualifications |
- Experience with applicable UAccess information processing systems will be considered a strength.
