100% Remote, Working Lead Role

Job Summary

The Lead, Time Collection Specialist should be a subject matter expert (SME) for all time collection specialist activities in their assigned division. This role should have the ability to shift resources to ensure coverage and business continuity when other teammates are out. The Lead Time Collection Specialist will assist the manager with onboarding and training activities, team alignment, productivity, and manage escalated inquiries from branch colleagues, customers, and associates related to Time/Pay/Bill issues. This is a customer-centric role with a primary mission to ensure accurate and timely payroll and billing for our valued associates and customers.

Your Role & Responsibilities



  • Assist with new colleague onboarding and training.
  • Monitor team performance and escalate concerns to management.
  • Responsible for managing escalated issues and problem resolution in assigned division.
  • Assist time collection team with collecting time records and submission of PBAs, own specific branches.
  • Monitor, collect, audit, and verify time records prior to submission for pay and bill processing; manage client time files, electronic time systems, VMS, and handle error resolution.
  • Assist with new client onboarding, setting up method of time capture and maintaining client clocks, as required.
  • Manage and monitor various middle office systems (AMT/TMT/LPM) for branch performance and time submission; escalate concerns to leadership.
  • Support and partner with branches, associates and customers on all time and pay related issues (e.g., incoming queries, gathering time, missed hours, incorrect rates, W2s, pay and bill adjustments, invoice short pays, Comdata funding issues).
  • Partner with the Time Collection Coordinator (TCC) team to ensure all-time records have been submitted and processed in accordance with all deadlines.
  • Perform federal, state, and local wage and hour compliance reviews, as required.
  • Research and generate Pay and Bill Adjustments (PBAs) from associates and customers.
  • Manage off cycle payroll (OCP), as required (e.g., bonuses, shift differential, sick, holiday)
  • Serve as a Subject Matter Expert (SME) for electronic timekeeping systems; promote the use of electronic time systems for our customers.
  • Manage tool codes for customers within CRM; submit change request when required.
  • Other time / pay / bill tasks as assigned.



Preferred Education & Experience




  • High School Diploma or Equivalent
  • 2+ years' office/general experience required.
  • Prior payroll experience preferred.



Competencies (Skills & Knowledge You'll Bring)




  • Time collection and/or payroll processing experience; full understanding of gross to net.
  • Solid understanding of payroll wage and hour laws at the local, state, and federal levels.
  • Hyper focused on customer service and quality.
  • Must have strong problem-solving skills; ability to identify root causes to develop solutions that resolve underlying time/pay/bill issues to prevent future reoccurrences.
  • High degree of attention to detail and accuracy while multi-tasking.
  • Excellent organizational skills.
  • Ability to work well under pressure while meeting deadlines.
  • Proficiency in MS Office (Excel, Outlook) with Excel skills in v-lookup and pivot tables.
  • Flexible schedule availability; work until job is done.
