Responsibilities:

General Office Duties:



  • Serve as a backup to our Front Desk to greet visitors, answer phone calls, and direct inquiries to the appropriate team members.
  • Maintain office supplies, order new supplies as needed, and keep the office organized.
  • Handle incoming and outgoing mail, packages, and deliveries.


Facilities Administrative Duties:



  • Enter customer orders into the SAP system accurately and efficiently.
  • Collaborate with the sales team to ensure timely order fulfillment.
  • Monitor order status, track shipments, and resolve any discrepancies.
  • Oversee the maintenance and upkeep of office facilities.
  • Coordinate with vendors and service providers for repairs and maintenance.
  • Ensure compliance with health and safety regulations.
  • Manage office space planning and allocation.
  • Monitor and manage facility budgets and expenses.
  • Conduct regular inspections to ensure facilities are in optimal condition.


Leadership Team Administrative Duties:



  • Provide administrative support to the leadership team, including scheduling meetings, preparing agendas, and taking minutes.
  • Assist with the preparation of reports, presentations, and other documents for the leadership team.
  • Coordinate travel arrangements and itineraries for leadership team members.
  • Manage confidential information and maintain discretion.
  • Facilitate communication between the leadership team and other departments.
  • Support special projects and initiatives led by the leadership team.


HR Administrative Duties:



  • Be an active member of our Fun Committee, organizing team-building activities, celebrations, and events.
  • Be an active member in our Charitable Giving Committee, organizing volunteer and donation opportunities for our employees.
  • Brainstorm creative ideas to boost employee morale and create a positive workplace culture.
  • Help plan office parties, birthdays, and other special occasions.
  • Organize and participate in employee engagement initiatives.



Qualifications:



  • High school diploma or equivalent; additional certifications or coursework in office administration, human resources, facilities management, or executive assistance is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with SAP or other order management systems preferred.
  • Familiarity with HR software and databases.
  • Knowledge of facilities management practices and procedures.
  • Excellent communication skills, both written and verbal.
  • Strong organizational abilities and attention to detail.
  • Friendly, approachable, and a team player.
