The Executive Assistant to the EVP, Health affairs will provide expert level administrative and organizational support to the EVP of Health Affairs, Emeritus Surgeon-in-Chief, VP of Health Affairs and Senior Director.

This Executive Assistant will:

  • Manage calendars to ensure effective time management and prioritization of competing demands and coordinate complex meeting schedules.
  • Coordinate travel arrangements, including meeting registrations, hotel bookings, and airline reservations.
  • Transcribe recorded dictations, including patient and administrative letters, reports, internal correspondence, and CICU patient progress notes, using SpeechLive software.
  • Maintain hospital appointments, state licensing, DEA registrations, controlled substance applications, and professional society memberships; Update and manage CVs.
  • Provide in-office coverage in the C-suite on a rotating basis with other Executive Assistants.
  • Process and track purchases and expense reimbursements.
  • Prepare meeting agendas and document accurate meeting minutes.
  • Plan and coordinate events to ensure seamless execution.
  • Handle patient correspondence and process requests for physician signatures on prescriptions, letters, and other documents.
  • Complete other responsibilities, as needed.

To qualify, you must have:

  • BA degree or equivalent experience, plus a minimum 3 years of relevant administrative experience in supporting executives in a complex, fast-paced environment.
  • Strong interpersonal skills, as well as excellent written and verbal communication skills.
  • Excellent typing skills and knowledge of basic medical terminology.
  • Must have the ability to prioritize, oversee, and manage projects and meet deadlines in a complex and fast-paced environment.
  • Must be able to work under pressure and handle a wide variety of simultaneous activities and confidential matters with trust, confidence, and discretion.
  • Analytical skills to resolve problems that require the use of basic scientific, mathematical and technical principles.
  • Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
  • Highly adaptive to new technologies with expertise in key Hospital administrative operating systems, including MS Office suite and PeopleSoft.
