Overview

AmTrust Financial Services, a growing commercial insurance company, has a need for an Executive Assistant based out of our Cleveland office. The position will primarily support Senior Executives that travel 50% of the time and provide support to their direct reports. This person will perform a wide range of administrative and executive support to ensure efficient operation of their organizations, which includes serving as the office/operations manager for our departments. The highly successful candidate will be able to think and work proactively to address the needs of the executives they are supporting. Maintains a solid understanding of AmTrust's mission, vision, and values while upholding the standards of the AmTrust organization.



Responsibilities

    Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
  • Organizes and strategically manages and maintains detailed calendars for executives; plans and schedules meetings, conferences, teleconferences, and travel.
  • Expense support to include budget tracking, creating purchase orders, and reconciling invoices and credit card statements.
  • Welcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries.
  • Prepares reports by collecting and analyzing information.
  • Assists with department events and provides support for events during executive's visits to different AmTrust offices.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Completes projects by assigning work to clerical staff and following up on results.
  • Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipates and orders needed supplies.
  • Ensures operation of equipment by completing preventive maintenance requirements; troubleshoots malfunctions; calls for repairs.
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.
  • Keeps current with market trends and demands.
  • Performs other functionally related duties as assigned.


Qualifications

Required:

  • 5+ years of executive administrative experience.
  • Experience managing multiple calendars; able to prioritize and multi-task; strong ownership and proactive mindset.
  • Experience booking domestic and international travel.
  • Experience with budget tracking, billing, and reconciliation of invoices and credit card statements.
  • Supply management, time management, and organization skills.
  • Attention to detail in composing, typing, and proofing materials.
  • Establishing priorities and meeting deadlines.
  • Computer software skills including Microsoft Office suite of products (Word, Excel, Outlook, PowerPoint, Teams, etc.)
  • High level of interpersonal skills to handle sensitive and confidential situations; ability to build relationships.
  • Position continually requires demonstrated poise, tact, and diplomacy.
  • Strong written and verbal communication skills.
  • Ability to work additional hours as needed.

Preferred:

  • Bachelor's degree in business or office management.
  • Experience with Concur for travel.
  • Experience with Oracle for expenses.
