This position assists the Finance Director and Deputy Directors with coordinating and analyzing departmental activities, managing operational projects, preparing, maintaining, and implementing improvements to department policies and procedures.

Minimum Qualifications

* Bachelor's Degree in Business, Public Administration, Communication AND
* Minimal three years of office management or project management experience
OR
* An equivalent combination of education and experience.

PREFERRED EXPERIENCE BEYOND MINIMUM QUALIFICATIONS:
* Progressively increased experience managing in government, accounting, human resources or computer software and information systems.


Duties & Responsibilities

These examples do not include all possible tasks in this work and do not limit the assignment of related tasks in any position of this classification. Regular attendance according to the position's management approved work schedule is required for all positions.

1. Assist Finance Director and Deputy Director's with planning, research, analysis, and reporting of divisional and/or departmental projects; makes recommendations; prepares and disseminates reports.

2. Collect, analyze, and disseminate organizational management indicators and outcome measures.

3. Serves as a liaison between departments to coordinate service levels, enhance communication, clarify issues and resolve problems.

4. Represent the organization and serves on committees for special projects.

5. Recommend and maintain policies and procedures, monitor consistent implementation and application.

6. Assist and support organizational management in hiring and confidential processes and procedures.

7. Coordinate Board Committee processes, prepares, maintains, and tracks Requests for Board Action (RBA's) through the process.

8. Administers and maintains the department SharePoint sites and Teams channels.

9. Coordinates and administers onboarding procedures and tasks for the department.

10. Maintains system access and equipment inventory and phone tree for Finance Department.

11. Orders equipment and supplies for the department.

12. Facilitates and prepares meeting agendas and presentations for Finance Leadership Team meetings.

13. Assists with department mail distribution.

14. Assists with processing AP for the Finance Department.

15. Performs other duties as assigned.

Knowledge, Skills & Abilities and Work Environment

  • Knowledge of County and department policies, programs, and procedures.
  • Knowledge of Minnesota statutes.
  • Knowledge of accounting, statistical reporting and evaluation principles.
  • Skilled in tracking and evaluating processes and systems.
  • Ability to communicate effectively both orally and in writing.
  • Ability to coordinate the activities of departmental and division staff and promote effective working relationships both internally and externally.
  • Ability to train, mentor, and motivate staff through involvement, participation, and cooperation.
  • Ability to handle multiple tasks efficiently and effectively.
  • Ability to plan, implement, and evaluate divisional management systems.
  • Ability to exercise initiative, discretion, trust and independent judgment.

WORK ENVIRONMENT: The work is primarily sedentary, although there is some walking, travel, and carrying of lightweight items such as briefcases, notebooks, and work papers. The work is typically performed in an adequately lighted and climate-controlled office. May require occasional travel.
