Position Summary The Proposal Coordinator supports the Core Bids Team with administrative tasks, coordinating, developing estimates, and submitting proposal packages for new umbilical system tenders and project change orders. Duties And Responsibilities * Ability to uphold and champion the company's CORE values in all actions and decisions. * Identify and mitigate risks during the tender phase and communicate any concerns to the execution team upon project award. * Ensure adherence to Health, Safety, and Environmental (HSE) standards. * Comprehensive knowledge of departmental and company operating policies and procedures. * Manage the preparation and submission of tender proposal packages by the assigned due dates. * Receive, review an extract customer's scope of work requirements from Request for Quote (RFQ) package. * Coordinate and communicate Bid Plan requirements and deadlines to the Core Bids Team, conducting meetings and keeping minutes as required. * Calculate cost factors and develop estimates, as well as for management tasks like organizing, scheduling, and evaluating cost efficiency. * Compile commercial proposal packages that aligns with customer requirements, incorporating estimate compilation and pricing details. * Compile technical proposal packages that meets customer requirements, including, but not limited to, engineering design documentation, preliminary schedules, and quality-related documents. * Work with Supply Chain, Project Management, and Accounting to perform job-specific cost analyses, evaluate variances using historical and actual data, and present findings to management to ensure accurate rates are utilized in cost estimates. * Represent the company in meetings with key customers and stakeholders, support Sales Representatives in nurturing customer relationships, and participate in negotiating and finalizing contracts. * Other duties as assigned. Qualifications REQUIRED: * High School Diploma or equivalent, with a minimum of 5 years of experience in supporting sales, estimation, or proposals functions. * Proficient with Microsoft Office 365. * Exceptional verbal and written communication abilities, complemented by strong interpersonal skills and a proven capacity to work effectively within a team environment. Proficient in preparing and presenting to diverse groups of individuals. * Proficiency in adapting to dynamic scope, schedule, and customer requirements. * Must be able to pass a background check and obtain a Transportation Worker's Identification Credential (TWIC) for port access. DESIRED: * Bachelor's degree (or equivalent) in a relevant field (Communications, Business, Finance, etc.) and a minimum of 2 years of experience in supporting sales, estimation, or proposals functions. * Experience with customer interface, customer relationship management software, professional sales, proposal management, project management and manufacturing processes. * Understanding of umbilical systems, including components, ancillary items and their use.
