Posting Summary |
Rutgers, The State University of New Jersey is seeking an Administrative Assistant for the SA-Recreation department.
Among the key duties of the position are the following:
- Provides administrative support to Member Services and Recreation Department by assisting with the coordination and administration of including but not limited to the areas of facility reservations, programs and events, office management, and business operations.
- Supports the facility reservation process including, but not limited to processing reservations, updating facility reservation systems, communications with internal and external clients, and requesting support needs from campus partners.
- Supports the administrative needs related to contracted facilities, programs and services provided to university and external groups.
- Assists with the planning and logistics of large-scale recreation programming including new student orientation and other student-facing initiatives.
- Coordinates the daily organization of desktops, common office areas, cabinets, office supplies and other areas assigned.
- Promotes inclusive ways to advocate for the needs of all students.

Qualifications
Minimum Education and Experience |
- Bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of administrative duties and strong organizational skills.

Required Knowledge, Skills, and Abilities |
- Demonstrated ability to communicate effectively in both written and verbal formats, including establishing rapport, drafting clear and concise professional correspondences, and explaining policies, procedures and ideas effectively to diverse audiences.
- Experience using the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Demonstrated commitment to fostering a welcoming, equitable, and respectful workplace environment while recognizing personal differences.
- Proven ability to adapt to a changing and evolving work environment.
- Collaborative spirit, the ability to actively listen, problem-solving skills, a positive attitude, reliability, and the willingness to share knowledge and skills to contribute to the team's success.

Preferred Qualifications |
- Proven understanding of a college and university work environment.
- Three (3) years of experience in an office setting.
- Experience using Smartsheet, Box, DocuSign and Innosoft Fusion software.
- Ability to work well with a variety of constituents, including university administration, faculty/staff, parents, and especially Rutgers students.

Immunization Requirements
Under Policy 100.3.1 Immunization Policy for Covered Individuals, if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption.
