Minimum Qualifications
Requires technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
Preferred Qualifications
Preferred experience within an animal hospital setting with advanced veterinary terminology utilized on a daily basis.
Position Summary
In Large Animal, the Client Care - Referral Coordinator is the first point of contact for veterinarians calling in referrals to the Veterinary Teaching Hospital ( VTH). This position ensures accurate and detailed medical history of each referred patient available to VTH specialists while operating a busy telephone system. In addition, this position utilizes advanced knowledge of veterinary terminology to communicate professionally with referring veterinarians and specialty clinicians.
Knowledge, Skills, Abilities and/or Competencies
1. Proven ability to deliver excellent client service, in a calm, professional manner, during challenging circumstances.
2. Ability to maintain effective collaborative relationships with faculty, staff, students, clients, and other stakeholders.
3. Successful utilization of Microsoft Office Suite, especially Word, Excel, and Outlook. Ability to learn and become proficient in other required programs such as VetView and Instinct.
4. Most possess proven knowledge of veterinary terminology
5. Excellent verbal and written communication skills required.
6. Ability to operate and maintain a multi-line phone system, as well as common office machinery such as a copier, scanner, fax machine, and printer
7. Must be able to maintain confidentiality with sensitive information
8. Ability to use critical decision-making skills to ensure daily operations of the front desk.
Physical Demands

  • Physical ability to left and carry up to 15 pounds both assisted and unassisted.
  • Ability to sit for long periods of time and use of repetitive actions during the entire work day.
  • Walking on different/uneven walking surfaces is common.
  • Ability to remember, organize, and consistently focus on large amounts of detail and come to appropriate conclusions.
  • Ability to walk and deliver items throughout the Veterinary Teaching Hospital through the course of the day.

  • Provide and maintain excellent client service by being the initial and ongoing point of contact for all Large Animal clientele.
  • Responsible for scheduling and managing appointment schedule for In House specialty services, On Farm and In House Emergencies, as well as Farm Practice.
  • Responsible for admitting clients and patients into Vetview and Instinct by verifying ownership, demographic, patient, and veterinarian information is accurate and correct.
  • Appropriately prepare the paper medical record with necessary documents, estimates, consent to treat, and history forms are completed and attached for reference.
  • Field client calls and questions, as well as answer general inquiries about services provided, estimates for treatment plans, billing questions, payment options and scheduling, etc via phone or in person.
  • Anticipate and resolve basic client needs or issues related to services provided.
  • Must be able to handle fast paced and sometimes stressful situations with a calm demeanor and no reduction in proficiency.
  • Maintain detailed and accurate phone communication logs of when and who calls the Large Animal front desk.

  • *Support all appointment desk activities by coordinating appointments for designated services.
  • Communicates with clients via email and phone to confirm all appointment information is accurate and pre-appointment details are provided.
  • Collect and process deposits, payments, and insurance requests in a timely fashion.
  • Acts as a liaison between clients and medical staff for clarification of patient care through text messages, phone calls, and emails.
  • Familiar with electronic medical record procedures in order to complete medical records and process archives.
