Job Summary

The Student Services Manager - Financial Aid is responsible for overseeing the administration of financial aid functions, ensuring compliance with federal, state, and institutional regulations. The manager will focus on people management, including setting individual and team goals, conducting 1:1s, providing coaching, and supporting professional growth to enhance team effectiveness. In addition to managing staff performance, manager ensures proper procedures for data management, file maintenance, and confidentiality, and assists in the development of departmental policies and procedures. The manager also oversees the reconciliation of federal and state funds, managing day-to-day office operations, and prepares reports for external agencies. The manager handles escalated student complaints, processes high-level professional judgment appeals (e.g., dependency overrides, special circumstances), and leads strategic initiatives to improve financial aid services and student support programs. Supervising a team of full-time staff, the manager monitors program effectiveness, fosters a culture of continuous improvement, and collaborates with internal and external stakeholders to optimize processes and services.

Essential Functions

25% - Manage the daily operations of the Financial Aid office, ensuring efficient processing and delivery of services to students. Implement and monitor quality assurance practices to ensure high standards of service and accuracy. Assist in the preparation and submission of reports required by external agencies (e.g., federal and state entities). Resolve escalated student complaints and concerns, providing timely solutions and guidance.

25% - Supervise, coach, and evaluate the performance of full-time financial aid staff. Foster staff professional growth by setting individual and team goals, conducting 1:1s, providing training, development opportunities, and performance feedback. Ensure staff adherence to departmental policies, procedures, and compliance standards.

10% - Ensure all financial aid programs comply with federal, state, and institutional regulations. Monitor and enforce adherence to policies for data management, file maintenance, and confidentiality. Oversee the reconciliation of federal and state financial aid funds, ensuring accurate disbursement to students.

10% - Assist in the development and continuous improvement of departmental policies, procedures, and workflows. Ensure staff is trained on new policies and best practices to improve service delivery and operational efficiency.

10% - Process high-level professional judgment appeals, including dependency overrides, special circumstances, and other complex cases. Ensure timely and accurate documentation of appeals, decisions, and student communications.

10% - Lead strategic initiatives to enhance the effectiveness of financial aid services and student support programs. Collaborate with internal and external stakeholders to improve financial aid processes, outreach efforts, and student communication.

5% - Serve as a liaison with internal departments, external partners, and community stakeholders to ensure effective service delivery and collaboration. Develop and distribute communications, promotional materials, and updates regarding financial aid programs and services.

5% Other duties as assigned

Minimum Qualifications

Bachelor's Degree from a regionally accredited institution in education, sociology, business administration or related field and five (5) years of progressively responsible student services or related experience that includes such things as administration of policies and procedures, program oversight and two (2) years of supervisory experience.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications
  1. At least four (4) years of recent, progressively responsible experience in financial aid administration, demonstrating leadership skills and the ability to manage complex processes in compliance with federal and state regulations including experience in decision-making and process improvement.
  2. A minimum of two (2) years of experience leading, mentoring, or coordinating teams including responsibility for task delegation, coaching, training, performance feedback, and goal-setting (e.g., SMART goals).
  3. At least four (4) years of experience in all facets of federal aid processing, such as packaging, awarding, and disbursing student financial aid in full compliance with federal, state, and institutional regulations, including experience in decision-making and process improvement.
  4. A minimum of four (4) years of experience in effectively communicating with students, staff, and external stakeholders, particularly in resolving complex and escalated issues.
  5. At least three (3) years of experience with financial aid technology and systems (e.g., PeopleSoft, CPS/FPP, COD, or other similar systems), including overseeing system data integrity, troubleshooting issues, and/or implementing process improvements to enhance operational efficiency.
