The Georgia Center, located on campus across from Stegeman Coliseum, is the campus hub for the development and administration of non-credit professional and continuing education courses as well as home of the only on-campus hotel.

Position Summary
This position is an integral part of the administrative team of the Director's Office of the Georgia Center for Continuing Education & Hotel. Will communicate clearly and professionally in-person, by phone and in writing. Should possess strong interpersonal skills and ability to work well with others within the Georgia Center, university and external community. This position involves flexibility to changing work duties and ability to be a self-starter. Strong writing skills: content creation, able to write business letters, notes, and minutes. Will summarize information concisely, exercising good judgement about what is important. Excellent proof-reading ability. Strong organization skills. Strong web research skills. Strong time management skills and ability to handle several tasks simultaneously and prioritize. Will maintain high level of confidentiality.
Knowledge, Skills, Abilities and/or Competencies
1. Prior administrative duties at a high level
2. Advanced Microsoft skills including:

  • Word - proficiency to include spell and grammar check, mail merges, create/modify styles, tables, insert images and objects, and manipulate various file formats
  • Excel - proficiency to include use of formulas, multiple sheets in workbooks, formatting, etc.
  • PowerPoint - proficiency in creation of slides to include both text and graphics
  • Outlook - proficiency to include calendar entries, email merges and contacts
  • Teams - proficiency in communications, file storage and retrieval, scheduling, video conferencing.

Duties/Responsibilities
Manage daily administrative functions of the Director's Office. The Director's Office consists of the Director of the Georgia Center for Continuing Education & Hotel and the Deputy Director of the Georgia Center. Support upon request from the Associate Director of Finance & Administration.

  • Prepare and process forms necessary to the operation of the Director's Office
  • Draft correspondence, reports, and other documents as necessary
  • Answer inquiries from external and internal customers in a concise and courteous manner
  • Manage Outlook calendars for the Director's Office - scheduling meetings, booking meeting space, reserving AV needs, coordinating with OVPPSO as needed
  • Act as scribe, and maintain documentation of meeting minutes from the Director's Office, Georgia Center divisions and Georgia Center committees
  • Interpret UGA and internal policies and procedures for division directors, supervisors, and staff; keep apprised of UGA and internal policies and procedures (new and existing), monitoring any revisions
  • Ensure Georgia Center policies and procedures are reviewed and approved on an annual basis by the Executive Council and maintain documentation of that process
  • Coordinate travel when needed
  • Manage any mail related needs for the Office

Coordinate administrative functions between the Georgia Center for Continuing Education & Hotel and the Office of the Vice President for Public Service and Outreach.

  • Coordinate meeting space reservations at the Georgia Center
  • Serve as back-up to coordinate Savannah Room reservations
  • Coordinate lodging room requests at the Georgia Center
  • Coordinate personnel inquires for information on Georgia Center employees
  • Coordinate meeting details, including agenda, list of attendees, logistical details, for Georgia Center meetings that include the VPPSO
  • Provide Georgia Center updates, including closures

Assist with the fiscal affairs of the Director's Office

  • Reconcile Director's Office expenses to ensure good stewardship of funds
  • Keep records of purchases to track expenses and provide documentation as needed
  • Process travel reimbursements per policy
  • Maintain office supplies inventory through purchasing process

Act as liaison to resolve problems that occur within the Georgia Center.

  • Troubleshoot issues in an effort to resolve problems by providing resources to staff or directing them to the proper area of expertise
  • Research and find resolution to issues that arise
  • Enter work orders in Maestro system for maintenance/repair services necessary within the Georgia Center
