The American Hospital Association (AHA) is a national organization that represents and serves all types of hospitals, health care networks, and their patients and communities. The AHA has two main offices, located in Washington, D.C. and Chicago. We are currently seeking an Executive Assistant, Chief Physician Executive and Vice President Clinical Affairs & Workforce for our Chicago office. This position is a hybrid role (three days in the office, two days working remote).

Starting base salary = $68,000- $85,000- $102,000 (commensurate with related experience). The AHA is committed to fair and equitable compensation practices. Responsible for performing a wide variety of executive-level administrative tasks in support of the Chief Physician Executive (CPE) and the Vice President (VP), Clinical Affairs and Workforce. Manage two complex calendars, arrange travel, coordinate meetings both onsite at AHA offices and offsite across the nation, create appropriate background information during member visits. Proactively identify and address administrative issues and opportunities. Communicate effectively and maintain positive working relationships with internal and external stakeholders.

Essential Functions include, but are not limited to the following:

* Maintain CPE's and VP's complex calendars on a daily basis, schedule and confirm appointments, meetings and conference calls.
* Handle logistics for meetings that are located onsite or offsite, including but not limited to meeting rooms or facilities, A/V, food and beverage and registration.
* Plan, organize and coordinate various activities related to the CPE's and VP's schedule of presentations, board meetings, committee meetings, committee presentations, speaking engagements, and events.
* Provide administrative support to the HRET Board of Trustees and coordinate submission of regular reports from HRET for the AHA Board of Trustees.
* Arrange travel plans for CPE and VP to include air, ground and hotel reservations in alignment with AHA travel guidelines.
* Assist with the creation, revision and distribution of various meeting materials. Take, transcribe and distribute notes or minutes of meetings, and identify next steps/actions items and owner.
* Prepare routine and advanced correspondence, including but not limited to letters, memoranda, documents, agendas, presentations, bios and reports.
* Collaborate with colleagues and other AHA departments and keep abreast of organizational activities and the work groups managed by the CPE and VP.
* Screen CPE's office telephone calls, physical mail and greet visitors.
* Document and implement policies and procedures that ensure administrative needs of the CPE and VP are met. Identify opportunities for process improvement.
