Job Overview:

The Office Services Coordinator is responsible for managing daily office operations, ensuring a professional and welcoming environment, and providing administrative support. This role requires a highly organized and detail-oriented individual with strong customer service skills and the ability to work in a formal, professional setting.

Key Responsibilities:

  • Maintain a clean, organized, and well-stocked office environment.
  • Greet and assist visitors, ensuring a professional and welcoming experience.
  • Order supplies, including Instacart, to keep office essentials stocked.
  • Process and pay invoices in a timely manner.
  • Manage and reconcile credit card expenses.
  • Validate guest and employee parking within the first 10 minutes of arrival.
  • Answer and direct phone calls professionally.
  • Maintain a business professional dress code at all times.


Experience:

  • Minimum 2+ years of experience in a front-facing professional role, such as a receptionist or administrative assistant.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is required.
  • Experience with campaign logic or creating email campaigns is preferred.
  • Ability to interact professionally with clients, guests, and internal teams.
  • Reliable and able to manage responsibilities efficiently.
  • A proactive approach to assisting guests and staff.
  • Accuracy in financial tasks, invoicing, and office organization.
  • Ability to maintain a formal, polished presence in a corporate setting.


Preferred Qualifications:

  • Experience working at a front desk in a highly professional environment.
  • Previous experience in a very formal corporate setting, adhering to strict professionalism and business etiquette.


Education:

  • An associate or bachelor's degree.
