Reports to Guest Services Manager; position is non-exempt

THE ROLE

The Reservations Agent role goes far beyond simply booking rooms. At Hotel Westland, the Reservations Agent is often the first point of contact with our guests, setting the tone for their entire experience. This position requires an individual who can transform a simple reservation inquiry into an opportunity to showcase our unique property and create anticipation for the guest's arrival. The Reservations Agent must be knowledgeable about all aspects of the hotel, from room types to special packages, and be able to effectively communicate our distinctive offerings. They are storytellers who paint a picture of the Hotel Westland experience while ensuring all booking details are handled with precision and care.

WHAT YOU WILL DO


  • Demonstrate passion and genuine care while handling all reservation inquiries with the highest level of hospitality and professionalism
  • Own the pre-arrival experience by ensuring accurate and thorough reservation details, proactively identifying special requests or opportunities to enhance the stay
  • Convert inquiries into bookings by effectively communicating hotel features, room types, and packages while maximizing revenue opportunities
  • Demonstrate mastery of the hotel's reservation systems and rate structures to ensure accurate information is input and maintained
  • Coordinate with other departments to fulfill special requests and ensure seamless pre-arrival planning
  • Maintain detailed knowledge of hotel promotions, packages, and special events - Monitor and respond to reservation emails promptly and professionally
  • Track and report on reservation trends and booking patterns
  • Collaborate effectively with revenue management to maximize opportunities
  • Display professionalism and discretion with all guest information
  • Work cooperatively with other departments to ensure guest needs are anticipated and met
  • Seize any opportunity to go beyond standard service to create memorable guest experiences


WHAT YOU WILL NEED


  • Passion for the hospitality industry and our Seattle community
  • Minimum of two (2) years of experience in hotel reservations or related field
  • Professional proficiency in English language for verbal and written communication
  • Strong knowledge of hotel Property Management Systems
  • Excellent phone manner and email etiquette
  • Advanced skills in Microsoft Excel and Word
  • Ability to work independently while maintaining attention to detail
  • Ability to work shift: AM (9:00am-5:30pm), that may include weekends and holidays
