Statistics and Data Sciences:

The UCF Department of Statistics & Data Science instructs students in a wide variety of methods for collection, analysis, interpretation, presentation, and organization of data. Students in our programs gain the knowledge and technical skills necessary to use complex data in many different applications. The department offers three undergraduate degrees: one in Statistics, one in Actuarial Science, and one in Data Science. The graduate degree offered by the department includes an M.S. degree with two tracks in Data Mining and Statistical Computing, a SAS certificate program, and a Ph.D. degree in Big Data Analytics.

The Opportunity:

UCF College of Sciences seeks an Administrative Assistant III to manage the administrative and daily operations of the Statistics & Data Science Department. Tasks include organizing symposium and industry partnership, advising on faculty affairs with department chair, and some undergraduate support.

Responsibilities:


  • Establish and maintain front office procedures and guidelines. Supervises and trains front desk students for front-facing operations. Assist faculty, staff, and students with routine inquiries. Coordinate faculty meetings, colloquium talks, receptions and similar functions for the Chair. Monthly minute taking for faculty/staff meetings, assist in gathering preparation materials for meetings. Maintain department website and social media marketing. Point of contact for Data Science Lab technology needs along with lab director. Serve as backup for front desk operations and assist with low-level IT support for faculty and the stats conference room.

  • Serve as property custodian and building liaison for the department. Manage property and computer inventory by tracking assets. Entering surplus items for pickup via the surplus database. Order keys for department Maintain and order all equipment and supplies as needed. Assist faculty and students to reserve seminar room, classrooms and conference rooms. Reconcile all purchases, via workday.

  • Assist Chair in collection and submission of faculty academic assignments, in-unit assignments, faculty evaluations, data collection for department annual reports, syllabi, finals & office hrs. Faculty activity system (FAS) reporting, and other forms/agreements submitted to the college/university. Serve as liaison with university administration and the college. Maintain the Chair's calendar and review and track student complaints. Backup for front-line undergraduate questions & concerns, and facilitating administrative forms for advising needs. Assist faculty as needed in running queries of Pegasus Mine Portal, manuscripts, correspondence, and seeking solutions on campus.

  • Liaison with external partners and data advisory board. Managing logistical operations for the Big Data Analytics Symposium, sponsor solicitation and engagement, speaker coordination, help with student competition management, space and room reservation, agenda creation and run-of-show preparation, registration and information, volunteer and staff assignments, feedback collection.

  • Other duties as assigned by supervisors.


Minimum Qualifications:

High School Diploma or Equivalent and 4+ years of relevant experience , or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • Bachelor's degree

  • 2-4 years administrative assistant or office experience

  • Experience with event planning and community engagement

  • Experience working in higher education

  • Experience effectively managing calendars and scheduling committee/departmental meetings

  • Customer focused and professional in interactions with faculty, students, and staff

  • Strong attention to detail with the ability to effectively prioritize tasks and manage multiple responsibilities in a fast-paced environment

The anticipated salary range for this position is $20.29 to Negotiable. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.
