Pavion and our family of companies is seeking a talented and motivated Operations Support Specialist to join our integration business unit.

Primary Responsibilities:



  • Manage schedules, calendars, and appointments for team members as needed
  • Order office supplies and schedule equipment maintenance
  • Handle incoming and outgoing correspondence, including emails, phone calls, mail and deliveries
  • Prepare and organize documents, reports, and presentations for managers
  • Assist with data entry, filing, and maintaining accurate records
  • Arrange travel, accommodations, and itineraries for staff
  • Coordinate and schedule meetings, conferences, and events
  • Support team projects by managing timelines and ensuring deliverables are met
  • Assist in the warehouse as needed
  • Gather and submit information for project permits as needed
  • Coordinate vehicle maintenance and repairs
  • Perform other duties as assigned by the Operations manager or General manager


Basic Qualifications:



  • High school diploma or equivalent required
  • Proven experience in an administrative or support role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
  • Strong organizational and time-management skills with keen attention to detail
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Positive attitude, flexibility, and the ability to work both independently and as part of a team
