Administrative Support Specialist, Commonwealth Law School

Widener University is currently seeking an Administrative Support Specialist at Widener Law Commonwealth. Reporting to Assistant Dean of Administration, this role provides support to students, faculty and staff with a focus on student affairs, enrollment, career development and externships, registration, student financial aid, and other student services.

DUTIES AND RESPONSIBILITIES (including, but not limited to):

Essential duties:



  • Serve as a first point of contact for students and prospective students who seek assistance from Student Services Offices.
  • Provide excellent customer service in all aspects of the position.
  • Assist prospective students in the admissions process by managing the general admissions email account, answering basic inquiries, processing applications, creating applicant files, and coordinating campus tours and events.
  • Support career development office (CDO) and externships by working with students, graduates, and employers, assisting with the collection of student and graduate information, updating office documentation, organizing application materials during three on-campus interview (OCI) rounds annually, working with CDO dean to coordinate OCI interview scheduling and day-of logistics, maintain master spreadsheet, and communicate with employers, and utilizing 12twenty database (CORE) to review and approve job listing requests, maintain student and employer records, and process resume collections. Monitor CDO inbox: process job listing requests and respond to employer inquiries by email or telephone in a timely manner
  • Assist with the administration of midterms, quizzes and finals, including accommodated and deferred exams
  • Provide administrative support to law school offices for events, including communicating with speakers and participants, managing registrations (including creating event page on CORE for CDO events), preparing materials and supplies, and coordinating with event planning staff to ensure successful events.
  • Handle issues tactfully and respect confidentiality, including compliance with FERPA and its regulations.
  • Collaborate with law school offices to resolve matters related to student issues.
  • Verify, input, update, and report data, using various customer relationship management and student information systems, to both internal and external constituencies.


Secondary responsibilities:



  • Other duties as assigned to support Student Services Offices.
  • Serve as backup to other support within the school when necessary.
  • Attend events related to student services.


MINIMUM QUALIFICATIONS (education/training and experience required):

Required:



  • High school diploma or equivalent.
  • Three plus (3+) years' experience in an administrative support, secretarial or office clerical role.
  • Demonstrated proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational, analytical, and interpersonal skills.
  • Superior oral and written communication skills.
  • Significant ability to work with teams to accomplish goals.


Preferred:



  • Experience in higher education, preferably in student services.
  • Experience in enterprise database or related system skills.
  • Experience in Datatel/Colleague, LSAC Unite, 12Twenty, Examsoft, Canvas, and other related software.


PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS:



  • Must be able to routinely sit at desk or table and work on computer for long periods of time (2+ hours), have basic manual dexterity, lift less than 25 lbs., and be mobile between workstation and numerous campus buildings. Involves routine standing, walking, and climbing stairs and occasional bending, stooping and/or kneeling.
