Under general supervision of the Manager Contracts and Resource Management the incumbent will actively participate and work in a highly collaborative fashion with the Office of Philanthropy staff to perform a variety of tasks essential to ensure financial resources are available to OOP staff and to ensure compliance with all City of Hope relevant policies and procedures. The incumbent will execute strategies that support the shared vision of the Preparing Our People initiative. This effort includes supporting the Philanthropy team to realize our goal of excelling as a highly collaborative, efficient, and creative team. The role will help implement a cultural adherence to personal accountability, shared success, and a commitment to professional growth.

Specifically, under the direction of the Manager, Contracts and Resource Management the incumbent will review contracts for compliance, prepare financial reports as necessary for Finance and Resource Management, and provide training and assistance for understanding of campus financial systems. Performing a wide variety of operational duties and analysis functions in support of the day-to-day operations of the Office of Philanthropy. Navigates campus administration systems on behalf of the Office of Philanthropy to ensure resources are available for OOP staff. Serves on the Administrative Operations Workforce Group, contributing and implementing critical best practices for the overall OOP operation.

As a successful candidate, you will:

  • Reviews contracts for compliance to policy and procedure before they are submitted for processing to Contract Management for all programs within Office of Philanthropy.
  • Review the NTracts non-compliance report and reach out to fundraisers for any additional training.
  • Functions as liaison between COH Contract Management Office and Philanthropy staff in managing workflow approval for contracts.
  • Applies understanding of COH contracting related policies to advise Philanthropy staff when contracts are necessary.
  • Trains Philanthropy staff on CMS related items: contracts, amendments, renewals, blanket purchase orders, and purchase requisitions.
  • Research and monitors Philanthropy transactions to ensure compliance with CMS and related policies and procedures.
  • Enters, monitors and maintains Philanthropy contracts in the COH Contract Management System (CMS).
  • Trains staff on all ERP related questions (requisitions, check requests, reimbursements, and reporting).
  • Assist as timekeeper, approver, reconciler and subject matter expert for all API related questions (sick time, vacation time, missed clocking, etc.).

Qualifications

Your qualifications should include:

  • Bachelor's degree; experience may substitute for education.
  • Ten (10) years in operations and contract administration. Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Two years in Accounting, Finance, or Business Operations, preferred.
  • Understanding of fundraising, CRM, Ntracts (API) and Peoplesoft financial and other reporting.
